Payroll and People Services Coordinator (Permanent)
Location: Edinburgh – hybrid model, 3 days in office per week.

As a Payroll and People Services Coordinator, you will ensure efficient, accurate, and compliant payroll and people operations across the employee lifecycle. You will act as first point of contact for employee and manager queries, process day‑to‑day HR and payroll activities, maintain high‑quality people data, and ensure adherence to established processes and controls. Working closely with the Payroll & People Services Manager and the HR team, you will support operational continuity, compliance, and continuous improvement.
Key Responsibilities
- Support monthly payroll processing activities, including data input, validation, and reconciliation.
- Assist in benefits administration (enrolments, changes, leavers).
- Ensure accurate employee data is maintained in Workday.
- Prepare standard payroll reports for internal and external stakeholders.
- Act as first point of contact for employee and manager queries.
- Advise on policy and procedural queries across the full lifecycle.
- Process employee lifecycle changes (joiners, movers, leavers, contracts, references, background checks).
- Support case management and documentation, ensuring audit readiness.
Qualifications & Skills
- Strong attention to detail and accuracy when handling payroll information and employee data.
- Good organisational and time management skills, capable of managing multiple tasks and meeting deadlines.
- Effective written and verbal communication skills to respond to employee and manager queries.
- Ability to follow structured processes and operate within defined controls and procedures.
- Experience working with HR or payroll systems and maintaining accurate data records.
- Understanding of HR processes across the employee lifecycle, including joiners, movers, and leavers.
- Previous experience in HR operations, payroll, or administrative coordination roles.
- Customer-focused approach with a commitment to delivering a responsive and professional service.
