ROLE OVERVIEW

Wilson Hawkins is looking for a razor-sharp, technically minded, and ambitious AI & Operations Analyst to redesign and supercharge our block management operations.

This is an entry-level role designed for a brilliant “green” starter—a graduate or self-taught tech enthusiast—who wants to sit at the intersection of business operations and cutting-edge technology. This is not a traditional property role; you won’t be managing blocks. Instead, your mission is to completely optimise our entire operational processes. You will build intelligent AI workflows, design custom business tools, and bridge the gap between our CRM, Google Sheets, and proprietary platforms to eliminate repetitive manual work.

ROLE EXPECTATIONS

You will dive deep into our day-to-day operations to understand the anatomy of a residential block’s lifecycle—from site inspections and compliance logging to Section 20 notices and service charge tracking. With guidance from senior management, you will map out these recurring tasks and completely re-engineer them.

Your core responsibility will be building and maintaining the digital bridges that connect our business data. You will take raw data from our CRM and Google Sheets and transform them into intelligent, custom-made internal tools and automated AI workflows that our team will rely on every day.

You don’t need decades of corporate experience; you just need to be exceptionally logical, highly organized, eager to learn, and fundamentally driven by problem-solving.

WHAT SUCCESS LOOKS LIKE

  • Workflow Re-engineering: Core block management operations are successfully audited, mapped, and redesigned for maximum efficiency.
  • AI Infrastructure: Next-generation AI business workflows are successfully built, linking our CRM, Zapier, Google Sheets, Looker Studio into seamless automation modules.
  • Custom Tool Creation: Practical, custom-made internal scripts and tools are deployed, significantly reducing the time property managers spend on admin.
  • Data Integrity: Information flows flawlessly between our property software, CRM, and tracking sheets without manual data entry errors.
  • Team Adoption: The wider team easily adopts the tools and workflows you design, finding them intuitive and indispensable to their daily work.

HOW YOU’LL SPEND MOST OF YOUR TIME

Most weeks, you will be:

  • Mapping Processes: Shadowing our property management team to audit existing workflows, identify bottlenecks, and pinpoint opportunities for automation.
  • Building Modules: Using automation platforms (like Make, Zapier, or n8n) and AI frameworks to design custom business workflows that trigger automatically based on CRM updates.
  • Harnessing Data: Constructing advanced Google Sheets architectures, writing custom scripts, and integrating them with APIs to act as powerful internal data engines.
  • Creating Internal Tools: Designing clean, user-friendly forms, dashboards, and custom interfaces that the team can use to input and extract property data smoothly.
  • Testing & Iterating: Constantly gathering feedback from property managers, running tests on your newly built modules, and refining your tools based on real-world use.
  • Documenting Systems: Writing simple, clear, and scannable “how-to” guides (SOPs) for the new workflows you introduce so the whole business stays aligned.

EXPERIENCE THAT HELPS

  • Hands-on experience building personal or academic tech projects, automations, or complex spreadsheet models.
  • Familiarity with low-code/no-code tools (Zapier, Make/Integromat, Glide, Softr, Bubble) or a strong interest in mastering them quickly.
  • Basic understanding of how APIs function or light exposure to coding languages (JavaScript/Google Apps Script, Python) is a huge plus, though full software engineering expertise is not required.
  • A background or degree in Business Operations, Computer Science, Engineering, Data Analytics, or a highly logical discipline.
  • Any prior exposure to fast-paced agency environments, startups, or customer relationship management (CRM) software.
