Job Description:

School Office Administrator / Receptionist / Print Room

Term time only, 37 hours per week across 39 weeks.

Salary and Contractual

Grade C, Scale Point 4 – £21,541 annual salary (award pending).

Responsibilities

  • Provide a welcoming and efficient reception to visitors, staff and pupils.
  • Issue security badges and maintain written records, including car registrations.
  • Liaise with staff to ensure visitors are directed appropriately.
  • Operate the telephone system, transferring calls and sending messages.
  • Maintain telephone lists.
  • Assist with the distribution of incoming post and preparation of outgoing post each day.
  • Ensure internal post between sites is regularly collected or delivered.
  • Coordinate receipt and distribution of deliveries.
  • Undertake administrative duties, including typing or secretarial work.
  • Serve as on‑call contact for the Senior Leadership Team for departmental issues.
  • Complete administrative tasks for staff, including confidential references for pupils.
  • Book taxis, manage administration and invoicing, liaising with the Primary School as needed.
  • Support First Aid when required (training provided if needed).
  • Act as point of contact for emergency services.
  • Assist in the Student Hub.
  • Operate an efficient printing service: collating, binding, stapling, distributing, and maintaining equipment.
  • Perform photocopying for teaching staff at both Southbourne and Iford sites.
  • Prepare teaching materials for copying and assist with master copies.
  • Train staff on reprographic equipment.
  • Maintain stock of stationery and repro supplies.
  • Report monthly information on internal purchases and misc. copying to finance.
  • Liaise with the IT Manager and supplier for repairs.
  • Respond to telephone calls for print room and reception.
  • Ensure all school printers have paper, toner, etc., and report any maintenance issues.
  • Maintain compliance with child protection, health and safety, security, and confidentiality policies.
  • Contribute to the ethos, work and mission of the school.
  • Assist with extra‑curricular activities such as parent evenings and GCSE results days.
  • Undertake other duties reasonably assigned by the Headteacher or deputy.

Qualifications & Requirements

  • First Aid at Work requirement; training will be provided if necessary.
  • Enhanced DBS check required.
  • Right to work in the UK and suitability for work with children (KCSIE 2025) will be verified.
