Administrative Assistant – Physiotherapy
We are seeking to recruit a Band 3 admin and clerical support staff member to support our Pelvic and Maternal Health Physiotherapy Team. This role has arisen as part of the integration of the Perinatal Pelvic Health Project to the already well established Pelvic and Maternal Health Physiotherapy Team at the Norfolk and Norwich University Hospital. The Perinatal Pelvic Health Project is part of the NHS Long Term Plan to provide NICE-recommended treatment for pelvic health problems during pregnancy and for one-year post-childbirth to all women. The Norfolk and Norwich University Hospital has been an early implementer of this national project and the full integration of this service into the NHS trust is an exciting and key development in ensuring the continued development of this service.
In this role, you will provide administrative support for the Perinatal Pelvic Health Service work that the Pelvic and Maternal Health Physiotherapy Team is undertaking at the Norfolk and Norwich University Hospital. This will include tasks such as data entry support to an electronic portal, patient information gathering, communicating outcomes to team colleagues, sending correspondence emails, and inviting patients into pathway of care within required timeframe.
You will receive supervision and annual appraisal and take an active role within your own personal development using our competency framework.
Main duties of the job
Motivated and organized individual to provide administrative and data entry support to the Perinatal Pelvic Health service; including gathering information and weekly confidential patient data set, patient data entry onto an electronic portal, communicating outcomes to team colleagues, sending correspondence emails and letters, and printing.
To deliver an effective and competent level of clerical support and consistently deliver a client-focused service which promotes good customer service and effective working relationships.

Job responsibilities
- Provide secretarial support to the Divisional Leadership team, including maintaining a diary, arranging meetings including room bookings and taking minutes as requested
- Organising meetings which involves
- Booking rooms
- Produce and circulating agendas
- Taking minutes and disseminating to relevant parties both within the NNUH Trust and relevant organisations
- Produce letters, documents and reports in a format suitable for professional and public use on behalf of the Divisional Leadership team as and when required
- Utilise information supplied from others to design, create, produce and distribute a monthly updates/reports
- Under the direction of the Leadership team produce action plans relating to the Divisional and Directorate operational issues;
- Support robust record keeping of evidence for CIP workbooks monitoring
- Maintaining an up to date register of all users of the CQUINS database
- To maintain annual leave, study leave and sickness records of all members of the Divisional Leadership team
