Business Administration Apprenticeship

An exciting opportunity for an Apprentice Business Administrator in Oncology with a support role across the Gloucestershire Oncology Department at Cheltenham General Hospital.

The Apprentice will support the administration team to deliver excellent patient care. The team includes Medical Secretaries, Booking Teams, Clerical Officers and Receptionists. The post-holder reports directly to the Lead Receptionist/Clerical Officer and Admin Manager.

The Apprentice will receive training in IT systems and ongoing supervision. Time will be spent across all areas of the department to develop a wide range of skills and provide administration support. Upon induction the Apprentice will enrol in the Level 3 Business Administration Apprenticeship.

Job responsibilities

Key duties include:

  • Reception duties: meeting and greeting patients, registering new patients, making telephone calls and taking accurate messages.
  • Documentation: pulling, filing, archiving clinic and hospital notes; prep online patient records; scan and file documents.
  • Correspondence: processing incoming/outgoing mail, audio‑typing dictated letters, using voice‑recognition software for clinic letters.
  • Administrative support: producing clinic lists, taking minutes, attending team meetings, daily use of in‑house computer programmes.
  • Other duties as directed by supervisor/manager.

Additional responsibilities and expectations

  • Attend Apprenticeship Framework training: corporate induction, GHNHSFT mandatory training, departmental vocational assessments, progress reviews.
  • Support all admin duties on both hospital sites.
  • Provide and receive sensitive information following policies, create and propose procedural changes.
  • Demonstrate leadership when training new employees.
  • Maintain professional image, comply with Trust policies, safeguard data and confidentiality.
  • Participate in appraisal and development processes and complete the Level 3 Apprenticeship in the required timeframe.

Person Specification

Qualifications

  • GCSE grade D (3) or above in literacy and numeracy (or equivalent).

Experience

  • Good communication skills (written and verbal).
  • Professional telephone handling.
  • Office or customer‑facing experience.

Knowledge & Skills

  • Enthusiasm to contribute to the Oncology Department.
  • Ability to work under instruction quickly and accurately.
  • Work flexibly.
  • Prioritise and manage simultaneous queries.
