Location: Skainos Centre, 239 Newtownards Road, Belfast, BT4 1AF (office-based role with occasional home working when business needs allow)

Salary: £24,849 per annum pro rata (£14,199 for 20 hours per week)

Contract: Permanent

Hours: Part-time, 20 hours per week

The Role

Volunteer Now is seeking an organised and proactive Administrative Officer to support the delivery of effective administrative services across the organisation.

This is a varied administrative role, providing support across training administration, reception, course and event administration, online systems, website updates, data input and general office support. You will play an important part in ensuring internal teams, trainers, course participants and external contacts receive a professional, efficient and responsive service.

This role may also suit candidates who have worked as an office administrator, administration assistant, training administrator, receptionist administrator, office support officer, or business support officer.

Key Responsibilities

Provide administrative support for Volunteer Management training and Core Safeguarding training courses

Liaise with managers on training schedules and course arrangements

Send contracts, attendance details, certificates, slides and evaluation materials as required

Prepare and send quotes for tailored training to organisations

Monitor course attendance levels and provide timely updates

Add courses to the website to enable advance booking and payment

Provide professional telephone and reception support, including handling and transferring a high volume of calls

Administer incoming and outgoing post

Monitor the general information mailbox and respond or redirect queries as appropriate

Provide typing, desktop publishing, data input and general administrative support

Assist with the arrangement of courses, events, conferences and webinars

Support staff in planning, setting up and administering webinars using platforms such as Zoom and Teams

Keep the contact management system up to date for course attendance

Maintain website content relating to your area of work

Maintain computer file management systems, including SharePoint

Provide scanning, photocopying, binding and document support as required

About You

You will be organised, methodical and confident providing administrative support in a busy office environment. You will bring:

The ability to effectively use a range of Microsoft packages and other computerised programmes or systems

Strong organisational skills and the ability to plan and manage your workload effectively

The ability to contribute to the successful organisation and planning of events, conferences, training and related activities

Good communication skills and a professional approach to dealing with colleagues, callers, participants and external contacts

Strong attention to detail and the ability to maintain accurate records and information

The ability to work independently and as part of a team
