Due to an internal promotion, we’re seeking a proactive and organised Engagement & Organisational Development (OD) Assistant to join our Workforce division at The Christie NHS Foundation Trust. Working in the Engagement and OD team, you’ll play a vital role in delivering high-quality admin support, helping us make a positive impact on the colleague experience, wellbeing and effectiveness of our organisation and creating an inclusive and engaging environment for all colleagues.

This is full-time Band 3 role (37.5 hours per week) and is a hybrid role based at our Withington site and home working.

Main duties of the job

  • Be the first point of contact for Engagement and OD enquiries, managing inboxes and responding to routine queries.
  • Support the planning and delivery of colleague events, coordinate logistics, book rooms and equipment, and manage delegate communications.
  • Maintain accurate records and databases, raise purchase orders, monitor office supplies, and assist with diary management.
  • Help prepare promotional materials and contribute to a positive, inclusive working environment.
  • Support the senior management team with diary management, room bookings and general administration.

Detailed job description and main responsibilities

  1. Be the first point of contact for general Engagement and OD enquiries, adopting a customer-focused mindset: answering phone, receiving and directing post, and managing team email inboxes.
  2. Support colleagues to organise a range of events, both online and face to face.
  3. Coordinate events by liaising with various departments, booking rooms and equipment, and setting up meeting spaces.
  4. Manage delegate communications, including sending invites, maintaining attendance lists, and providing joining instructions.
  5. Print and distribute posters, handouts, and other materials for sessions, events, and inductions.
  6. Set up displays and noticeboards for promotional events as directed.
  7. Undertake diary management for the Engagement and OD team as required.
  8. Use Trust systems to raise purchase orders for procurement of items and services.
  9. Monitor supplies and maintain stock levels for stationery items and order equipment ahead of running low.
  10. Assist team members with administrative tasks, such as preparing reports or gathering information.
  11. Maintain orderly electronic files and input/manage data in databases, ensuring accuracy and completeness.
  12. Contribute to the smooth and efficient running of the division by completing routine tasks and assisting with other duties as required.
  13. Be efficient, helpful and courteous, able to work unsupervised and prioritise own workload.
  14. Pay attention to detail and a positive, pragmatic attitude to all tasks.
  15. Demonstrate the Trust values and behaviours and be accountable for own attitude and behaviour.
  16. Any other duties as may be required from time to time and commensurate with the grade of the post.

Person specification

Qualifications

  • Good standard of general education.
  • Minimum English and Maths GCSE (grades 5-9) or equivalent.
  • NVQ level 3 or equivalent.
  • Evidence of continuing personal/professional development.
  • Achievement or working towards CIPD Level 3.
  • L2 qualification in digital literacy skills in the workplace (or willing to work towards).

Experience

  • Working in an office environment and remotely.
  • Working in a customer-focused environment.
  • Experience of dealing with queries from staff at all levels.
  • Developing and maintaining databases.
  • Working effectively and confidently with managers and stakeholders.
  • NHS experience.
  • Experience of the NHS Electronic Staff Record system (ESR).
  • Experience of providing HR generalist services.
  • Involvement in supporting projects.
  • Involvement in supporting staff, e.g. health and wellbeing, inclusivity, engagement, leadership development.
