Job Description The successful candidate will act as a central point of contact for facilities operations, supporting both Planned Preventative Maintenance (PPM) programmes and reactive works. You will play a key role in maintaining accurate systems, ensuring compliance with contractual and regulatory requirements, and contributing to effective issue resolution to minimise operational risk and maintain service performance. Key Responsibilities Take ownership of reactive work orders from initiation through to completion, ensuring timely resolution. Monitor alarm management systems and operational alerts, assessing priority and coordinating responses. Raise, allocate, track, and close work orders within agreed service levels and response times. Coordinate engineers and suppliers, ensuring work is assigned to the most suitable resource. Plan, schedule, and administer Planned Preventative Maintenance (PPM) programmes and track completion. Maintain accurate CAFM/Maximo system records, including job details, updates, and compliance information. Act as a central point of contact for operational enquiries, providing clear and professional communication to stakeholders. Generate and maintain operational and compliance reports, monitoring KPIs, SLAs, and highlighting risks and trends. Professional and Personal Competencies/Qualifications Administrative experience within a fast-paced operational environment. Experience managing work orders, service requests, or facilities administration. Strong Microsoft Office skills, particularly Excel, Word, and Outlook. Experience using CAFM, Maximo, or similar management systems. Proven ability to coordinate multiple stakeholders and priorities simultaneously. Excellent organisational and time management skills. Strong attention to detail and accuracy. Excellent verbal and written communication skills with a customer-focused approach.
