Job Description:

Role Purpose

The Property Manager is responsible for all end‑of‑tenancy and pre‑tenancy operational activity, ensuring properties are prepared to a high standard for new tenants and that vacating tenancies are handled efficiently.

This is a field‑based, hands‑on role, focused on property condition, maintenance coordination, and ensuring a smooth transition between outgoing and incoming tenants. Property Managers play a crucial part in protecting landlord assets and ensuring properties are ready to re‑let quickly and compliantly.

Key Responsibilities

1. End‑of‑Tenancy Management

  • Conduct end‑of‑tenancy checkouts, visiting properties to assess condition and identify required remedial works.
  • Take end‑of‑tenancy meter readings and ensure accurate reporting.
  • Arrange and oversee end‑of‑tenancy maintenance, cleaning, and repairs, ensuring landlords are kept informed.
  • Process deposit returns, negotiate deductions, and ensure deposits for new tenancies are registered correctly (with support from Admin where required).

2. Pre‑Tenancy Preparation

  • Progress New Applications to Move In
  • Chase Referencing
  • Ensure all Move in Compliance Documentation are ready
  • Complete inventories and ensure they accurately reflect the property’s condition.
  • Carry out pre‑tenancy meter readings.
  • Arrange pre‑tenancy maintenance, cleaning, and any required works to ensure the property is ready for new tenants.
  • Ensure all pre‑tenancy tasks are completed in line with agreed timelines to support smooth move‑ins.

3. Property Visits & On‑Site Responsibilities

  • Visit vacant properties that are struggling to let, identifying condition issues or improvements needed.
  • Physically attend properties to understand maintenance requirements and ensure standards are met.
  • Support the operational flow between tenancies by being the “eyes on the ground” for the wider PM team.

4. Operational & Administrative Tasks

  • Raise relevant landlord invoices relating to end‑of‑tenancy or pre‑tenancy works (moving to SPM oversight).
  • Assist the Senior Property Manager with any required tasks linked to tenancy transitions.
  • Ensure accurate documentation, reporting, and communication with landlords, tenants, and internal teams.

Skills & Experience Required

  • Strong understanding of property condition, maintenance requirements, and tenancy transitions.
  • Confident in conducting checkouts, inventories, and property assessments.
  • Excellent organisational skills with the ability to manage multiple properties and deadlines.
  • Good communication skills, especially when explaining works, deductions, or property condition to landlords and tenants.
  • Ability to work independently, often on the road, with strong time‑management skills.
  • A full driving licence and access to a vehicle (essential due to the mobile nature of the role).

  • Efficient turnaround of end‑of‑tenancy works, reducing void periods.
  • Clear communication with Senior PMs, landlords, and lettings teams.
  • Smooth handovers between tenancies with minimal delays or issues.
