The Registration and Marketing Support Officer’s tasks are to provide support to the Registration team with the invitation, accreditation and registration of Annual Meeting (AM) participants; to support the implementation of the new registration and marketing platform; to support EBRD staff with flagging and registration queries. This role will also support the Marketing and Sponsorship team by updating the website content on an ad‑hoc basis. Researching the Host Country culture and heritage and producing a promotion page on the website. This role will be supporting the team onsite by setting up and managing push notifications and MyEBRD app support to participants.
Accountabilities & Responsibilities
- Support the set-up and testing process of the registration and marketing platform.
- Assist the Bank’s staff with the flagging process.
- Process invitations of AM participants via the registration system.
- Process accreditation of new participants, ensuring strict accreditation criteria are applied across all categories and escalating with OCCO when integrity check results are questionable.
- Monitor the AM information email address and answer AM-related queries of the Bank’s staff.
- Produce reports on demand.
- Research facts related to the Host Country culture and heritage as material to promote the country on the website, newsletters, social media and other marketing channels.
- Propose content and structure for the Host Country page on the AM website.
- Update the Annual Meeting website as required based on the team and programme needs.
- Setting up push notifications and scheduling them to go out based on the programme of events and in consultation with the Event Management team.
- Contribute to outreach, campaigns, and sponsorship support, including research and coordination with partners.
- On-site:
- Monitor the AM information email address during the event.
- Send push notifications to manage crowds if required.
- MyEBRD promotion and participants’ support during the live days of the event.
Qualifications
- Proven experience of and good knowledge in conference or events organising.
- Computer literate (latest Windows applications), with emphasis on reports in Excel.
- Demonstrated skills in monitoring time‑plans and co‑ordination with other departments/units and external companies.
- Excellent attention to detail.
- Ability to operate sensitively in multi‑cultural environments and build effective working relationships with clients and colleagues.
- Good knowledge of EBRD’s procedures and policies is desirable.
- Fluent written and spoken English.
- Knowledge of French would be valuable.
- Effective verbal and written communication skills, including ability to establish rapport with a wide range of clients.
- Good level of numeracy, ability to work with numbers, accuracy and attention to detail essential.
- Excellent interpersonal, diplomatic, negotiation, communication, presentation and consensus‑building skills.
- Strong team player, able to integrate into existing AMPEM team with the ability to work efficiently and cheerfully.
- Ability to work calmly under pressure with tight deadlines, whilst retaining accuracy.
