Job Overview

We are looking for a highly effective medical secretary to join the Care of the Elderly Team. You must be able to communicate effectively with colleagues, patients and medical teams, have the ability to work under pressure, have excellent time management skills and the ability to be able to problem solve.

The role of the medical secretary is to provide support to specific named Consultants within the department, dealing with referrals, liaising with the medical team and the production of clinic letters amongst other general secretarial duties.

This role also supports the discharged inpatient side of the department which will include checking discharge summaries, checking results and answering general inpatient queries that come in for the Consultants once the patient has been discharged.

Previous administrative or secretarial experience is essential with excellent typing skills. Medical terminology is desirable but not essential. Our ideal candidate will be flexible, adaptable and willing to work as part of our busy team and cross cover as necessary when required.

This role is part time 30 hours per week and is ideally over 4 full days. Specific days can be discussed.

Main duties of the job

  • Provide a complete medical secretarial service including word processing, electronic filing, photocopying/scanning and the composition of letters. Provide a fast and accurate copy & audio typing service to the department, producing clinic letters and other documents.
  • Check discharge summaries and test results for discharged inpatients. Be the point of contact for any queries following discharge via telephone and email.
  • Prepare and organise papers for meetings, attend and take minutes when necessary.
  • Liaise with nurses, doctors and other members of the multi-disciplinary team including inpatient & outpatient booking teams to provide a quality service for patients.
  • Work as part of a team sharing responsibility for the smooth running of the post.
  • Provide the first point of contact, answer telephone inquiries, take and relay messages in a polite and helpful manner, and use own judgement to establish the priority of issues and take action as appropriate. Arrange patient appointments when necessary.
  • Assist with the smooth running of the consultant’s diary and organise meetings as appropriate.
  • Deal with incoming correspondence, using initiative as appropriate.
  • Provide secretarial cover across the directorate as directed.

Person Specification

Essential criteria

  • Secretary experience.

Desirable criteria

  • Previous NHS admin experience.

Qualifications

  • Typing qualification.

The postholder will have access to vulnerable people in the course of their normal duties and as such this post is subject to the Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 (Amendment) (England and Wales) Order 2020 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure and Barring Service to check for any previous criminal convictions.
