Location: Hybrid – 3 days a week on‑site in London, with occasional travel to Reading (expenses covered).
Working Pattern: 30 hours over 4 days.
About the Role
As the Office Assistant, you will take the reins on day‑to‑day office operations, fostering a welcoming atmosphere for employees and visitors alike. Your contributions will enhance workplace experience and support business initiatives, making you an essential part of our client’s success!
Key Responsibilities
Office Operations & Leadership
- Oversee daily operations of the London and Reading offices, ensuring a safe and engaging environment.
- Maintain high workplace standards and ensure compliance with health and safety regulations.
- Optimise office facilities and manage supply processes to support business needs.
Employee Experience
- Serve as the primary contact for all office‑related queries, providing timely and solution‑focused support.
- Contribute to a positive workplace culture by driving employee experience initiatives.
- Help organise events such as quarterly lunches and annual winner’s trips.
Vendor & Supplier Management
- Manage relationships with IT and telephony providers, ensuring exceptional service and performance.
- Review and optimise supplier agreements for quality and value.
IT & Asset Coordination
- Maintain office IT infrastructure and ensure smooth onboarding for new starters with effective IT setups.
Executive & Operational Support
- Provide high‑level administrative support to the CEO, including diary management and coordination.
- Assist the Operations Director with planning and executing company‑wide events and initiatives.
What We’re Looking For
- Proven experience in office operations or administrative roles.
- Strong organisational and problem‑solving skills with a proactive approach.
- Excellent vendor management and negotiation skills.
- Confident communicator, comfortable interacting with stakeholders at all levels.
- Experience supporting senior executives is a plus.
