Job Description:

Senior Administrative Officer – Full time 36 hours

Fixed term for 3 months.

Team: Safeguarding & Quality Assurance Unit.

An opportunity for a Senior Administrative Officer has become available within the Safeguarding & Quality Assurance Unit. The post holder will be expected to minute Child Protection Meetings, Local Authority Designated Officer Strategy Meetings, and other meetings where necessary. Core business hours are 08:30 a.m. – 16:30 p.m. This role is for 36 hours each week between these hours (however dependent on business needs you might be required to work outside of these hours in line with the Authorities flexi scheme).

This is a busy role and there is an expectation that the post holder can manage their own workload whilst working as part of a team to ensure work is completed within agreed timescales.

Key Qualifications

  • Competent and experienced in minuting Initial Child Protection and Review Meetings and Local Authority Designated Officer Strategy Meetings.
  • Use of computers and PC based applications including Microsoft Office and Microsoft Teams, to produce accurate typed records/assessments and other pertinent information that are highly accurate.
  • Ability to record and communicate complex information accurately and appropriately, both verbally and in written form, including taking minutes in a professional manner and being child friendly to an extremely high standard (these can act as a record for court purposes in legal proceedings regarding children).
  • Working to deadlines: to be able to organise meetings, produce and distribute minutes and complete follow up actions within statutory deadlines.
  • Organisational skills: to arrange a variety of meetings for the Safeguarding Children and QA Unit, ensure that all relevant documentation/information is prepared in sufficient time, liaison with partner agencies, and complete minutes and follow‑up actions within required timescales.
  • Confidentiality: ensure that confidentiality is always maintained and give consideration to the secure storage of data relating to child protection matters; consider the extremely sensitive and emotive nature of the subject matter and subsequent discussion of cases presented.
  • Ability to prioritise and manage own workload and work flexibly across the team and Children Services to meet the needs of the service.
