Equans is looking for a Contract Administrator to join our team on the ICR contract based in Kensington & Chelsea, SW3 on a permanent basis. This is a full time role working 40 hours per week. On offer is a competitive salary and benefits package.

As a Contract Administrator, you will be a part of the Support Services Team for Mobile Services with specific responsibility for the ICR Contract. You will work alongside and closely with all members of the Equans ICR team to ensure we meet the requirements of our customers, using agreed standard methods of working.

What will you deliver?

  • Schedule all PPM works in a timely manner ensuring contractual KPI’s are met using Equans systems.
  • Liaise with the Contract Manager & Supervisor to schedule all sub‑contractor PPMs ensuring these are attended in accordance with the agreed PPM programme.
  • Creation of Purchase Orders to sub‑contractors for PPM and reactive attendances, working within customer access requirements and adhering to agreed processes using a Sub‑con Tracker to document PO information against quoted and contract agreed costs.
  • Collect and refer any Sub‑contractor RAMS and Insurances to the Contract Manager prior to any work commencement at site.
  • Prepare and issue any Permit to Work requirements as required by the customer and Equans subject to customer onsite requirements.
  • Uploading of Compliance documentation to both internal and external customer file monitoring systems.
  • Support the Contract Manager & Supervisor with all aspects of scheduling engineer workloads on PPM and Variable tasks.
  • Provide support for preparation of Extra Works Quotations, covering for the alternative site when necessary.
  • Provide support to the Contract Manager for the entry & verification of engineer’s timesheets.
  • Liaise with the Contract Manager & Supervisor to effectively deal with queries and escalating issues where necessary to Management team.
  • Continuously update appropriate customer CAFM (Facnet) and accounting systems with detailed & accurate information ensuring supporting information / evidence is in place.
  • Chase appropriate parties for supporting information such as subcontractor & engineers’ reports, if not in place and file accordingly.
  • Ensure all aspects of compliance paperwork are maintained and delivered according to contractual requirement.
  • Processing any contractual requests ensuring all systems are up-to-date using a range of CAFM systems and customer bespoke systems.
  • Support the Contract Manager with monthly report updates.
  • Carry out general administrative duties on an ad hoc basis when requested commensurate with the role.

Who are you?

  • Keen awareness of customer focus and brand image.
  • IT literate with a working knowledge of all MS applications such as Excel.
  • Knowledge of CAFM systems would be an advantage.
  • Previous experience of Planning/PPM’s is desirable.
  • Health & safety awareness.
  • Demonstrate good team working ability with excellent communication skills.
  • Ability to work in a focused manner with the ability to prioritise workload and requests.
  • An understanding of purchasing and managing supplier delivery desirable but not essential.
  • Technical knowledge within the M&E industry desirable but not essential.
