About The Role
This role involves coordinating technical services, managing fleet operations, and reporting on key performance indicators.
Key Duties
- Daily chasing of CTS WIP, coordinating with external suppliers and updating the system on time to completion.
- Weekly completion of the WIP report and WIP comparison report for the CTS.
- Completion of CTS VOR reporting.
- Weekly production of exception report showing missed services, and distribution to relevant technical maintenance controller.
- Managing assigned KPI’s and acting accordingly.
Fleet Desk Team Participation
- Answer fleet desk calls and direct or act on the call accordingly.
- Assist with resolution of invoice queries allocated via the query process to the fleet area.
- Assist satellite workshops & mobile engineers with Fleetwave issues and queries.
- Support the technical service administrator when required.
CTS Fleet Management
- Run legal servicing reports, validate information based on current Fleetwave data and arrange bookings for CTS service events.
- Liaise with CTS customers and third‑party repairers to book vehicles for service, including arranging delivery and collection.
- Accurately and timely entry of CTS jobs into Fleetwave.
- Ensure vehicles remain compliant, chase and update WIP of CTS service events and update Fleetwave with supplier information.
- Chase and check compliance paperwork from suppliers, upload to Fleetwave in a timely manner.
- Escalate issues arising from service paperwork to necessary suppliers.
- Create defect jobs triggered by customers, record a date and time stamp.
- Process CTS tyre requests and obtain recharges.
- Monitor CTS daily movements and cancel service events as required.
CTS Supplier Management
- Monitor CTS daily movements and source maintenance providers.
- Proactively establish a network of maintenance providers, set up and negotiate supplier accounts and rates.
Skills
- Good work organisation
- Excellent telephone manner
- IT literate with experience of using Outlook, Excel and Word
- Ability to work unsupervised and with initiative
- Can prioritise own workload
- High level of accuracy and attention to detail
- Ability to work under pressure and react quickly to changing business needs
Qualifications and Experience
Ideally you will have previous experience working in a commercial vehicle facility.
Working Hours
40 hours per week – Monday to Friday – office based role. 8:30am to 5:30pm.
