College Administrator

Full-Time | £25,000 per year | 45 Weeks per Year (Term Time + 5 Weeks During College Holidays)

Location: London (Islington)

SoundSkool Music Industry College is a small, not-for-profit, specialist post-16 music college supporting around 50 students aged 16-18 to develop their creative and professional pathways in the music industry. We are seeking a highly organised and proactive College Administrator to support the smooth day-to-day running of the college. This role is central to ensuring strong communication, effective student administration, and operational support for the leadership and teaching teams.

The successful candidate will play an important role in supporting students, staff and families while helping the college maintain high standards of organisation, safeguarding and compliance.

Key Responsibilities

Student Administration

• Maintain accurate student records and files

• Support attendance monitoring and daily registers

• Assist with student onboarding and enrolment processes

• Support admissions administration including audition scheduling and reference tracking

• Maintain communication with parents/carers where required

• Support student documentation including reports, letters and forms

Data & Records Coordination

• Assist in maintaining accurate data for reporting to leadership and external partners where required

• Ensure digital filing systems (Google Drive) remain organised and accessible for staff

• Support admissions administration including audition scheduling and reference tracking

• Support the preparation and organisation of documentation required for internal and external audits

Course & Qualification Administration

• Support the administration of RSL qualifications and coursework tracking

• Assist the Course Lead with moderation and assessment administration

• Maintain structured digital folders for student coursework, assessment evidence and moderation materials

• Support exam and assessment entry processes

• Assist with audit preparation and documentation organisation

 • Support the preparation and organisation of evidence required for moderation, quality assurance and awarding body review.

Operational & College Administration

• Provide administrative support to the Head of Education, Head of College and teaching staff

Act as the first point of contact for visitors, contractors and deliveries, ensuring all visitors are welcomed and signed in in accordance with safeguarding procedures

• Monitor and manage the college door entry/access system, ensuring only authorised individuals are admitted to the building and safeguarding procedures are followed

• Manage shared documents, Google Drive folders and internal records

• Assist with timetable communication and room bookings

• Support organisation of college events, auditions and showcases

Student Support & Communication

• Act as a first point of contact for student queries and administrative support

• Assist with student support processes including documentation and scheduling meetings

• Support communication between staff, students and families where required

• Ensure communication is handled professionally and sensitively

CEO & Strategic Administration Support

• Assist with administrative tasks for the CEO where required

• Support data gathering, document organisation and operational systems

• Help maintain organisational records and internal documentation                         • Fulfil any other duties as reasonably directed by CEO or the Head of College in support of the College’s aims and operational needs.

Person Specification

The ideal candidate will demonstrate:

• Strong organisational and administrative skills

• Excellent written and verbal communication

• High attention to detail

• Ability to manage multiple tasks and priorities

• Confidence using Google Workspace (Docs, Sheets, Drive)

• A calm, professional and supportive approach with young people                         

• Ability to organise data and digital records in a clear and structured way

Desirable Experience

• Experience working in an education setting

• Knowledge of safeguarding processes

• Experience supporting qualification administration or coursework systems

• Understanding of SEND or student support environments
