Owen Reed is looking for a Legal Secretary for a top law firm in London to support Antitrust & Competition department.

Hybrid working arrangement: This Legal Secretary offers a hybrid working pattern of 4 days in the office and 1 day working from home.

The Role

This is an exciting opportunity for an experienced Legal Secretary to join a highly regarded Antitrust & Competition team within a prestigious international law firm. The Legal Secretary will provide comprehensive secretarial and administrative support to partners and attorneys, ensuring the smooth day-to-day operation of a busy practice.

The successful Legal Secretary will demonstrate exceptional organisational skills, outstanding attention to detail, and the ability to manage multiple priorities in a fast-paced legal environment. This Legal Secretary position requires professionalism, discretion, and a proactive approach to supporting fee earners and maintaining excellent client relationships.

Key Responsibilities

As a Legal Secretary, your responsibilities will include:

  • Producing, formatting, proofreading, and amending legal documents, correspondence, presentations, and reports.
  • Managing complex diaries, scheduling meetings, and maintaining deadline reminder systems.
  • Coordinating travel arrangements, accommodation bookings, itineraries, and expense processing.
  • Managing attorney inboxes, electronic filing systems, and records management processes.
  • Organising incoming and outgoing correspondence, documents, and mail.
  • Preparing legal documentation and providing comprehensive administrative support to attorneys and partners.
  • Opening, maintaining, and closing client files in accordance with firm procedures.
  • Updating and maintaining client information within the firm’s CRM system.
  • Monitoring and assisting with attorney time recording and timesheet submissions.
  • Coordinating meetings, conferences, departmental events, and team activities.
  • Handling confidential information with the highest level of discretion and professionalism.
  • Supporting colleagues across the secretarial team during periods of absence and increased workload.
  • Assisting with document production, filing, photocopying, and additional administrative projects as required.
  • Attending relevant training sessions, team meetings, and firm-wide events.

Skills and Experience

The ideal Legal Secretary will have:

  • Proven experience working as a Legal Secretary within a law firm environment.
  • Excellent English language, grammar, and communication skills.
  • Strong document production and proofreading capabilities.
  • The ability to produce accurate legal documentation with minimal supervision.
  • Excellent organisational skills and the ability to manage competing priorities effectively.
  • Strong interpersonal skills and the ability to build positive relationships with clients, attorneys, and colleagues.
  • A proactive, flexible, and professional approach to work.
  • The ability to maintain strict confidentiality at all times.
  • Strong teamwork skills and a collaborative working style.
  • A typing speed of approximately 70 words per minute or higher.
