Job Purpose
To be responsible for matters of school management relating to general administration, finance and non-teaching staff.
Essential Criteria
- Qualifications/Experience: Either (A) a third level qualification (UK Qualification and Credit Framework Level 4) in business, finance or administration, or equivalent or higher, plus minimum two years’ experience in an administrative and/or finance role; or (B) five years’ experience in an administrative and/or finance role.
- Skills: Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
- Knowledge: Understanding of the requirements for a Senior Executive Officer.
- Interview Skills: Planning and organisational skills, ability to work under pressure, customer‑focused approach, people‑management and team skills, interpersonal and communication skills.
- Values Orientation: Evidence of how your experience and approach to work reflect the school’s values and ethos.
Desirable Criteria
- Experience with computerised financial systems.
- Experience with the C2K system and finance management software.
- Experience working in a school or college setting.
- Working knowledge of the Local Management in Schools Scheme.
Main Duties and Responsibilities
Supervision
- Supervise staff, manage duties, planning, coordination, discipline and welfare.
- Provide on‑the‑job training.
General Administration
- Provide administrative, clerical and secretarial support for staff and Board of Governors.
- Develop, maintain and operate manual and/or computerised information systems for pupils, staff, budgets, meals, maintenance, examinations, care, medical services, recruitment and transport.
- Complete and submit required records and returns.
- Contact relevant personnel to receive and provide information.
Purchasing and Supplies Administration
- Operate and oversee requisitioning procedures: ordering, purchasing, receiving, checking, storage and distribution of resources.
- Stock control of resources.
- Arrange maintenance of equipment in partnership with other school and board staff.
Finance
- Develop, control, monitor and report on all financial systems, including the delegated budget and cost centres.
- Responsible for all cash handling and banking arrangements.
- Support financial procedures and provide relevant personnel with assistance.
Estate Management
- Co‑operate with staff in the administration of maintenance, decorative and minor building works, issue works orders and costings.
Other Duties
- Assist work‑placement students with practical tasks and assignments within the school office.
- Other duties likely to be assigned within the level of the role.
Flexible Working Options
- Option 1: Required to be on duty during the school term plus two additional weeks, timing at the discretion of the Principal.
- Option 2: Required to be on duty for the contracted weekly hours, working during school closure except during authorised absence.
- Option 3: Same as Option 2 with the additional option to request unpaid leave during extended school holidays or closures.
