Role Overview

The Resource Planning Manager will be responsible for coordinating global delivery capacity planning across all regions and functions by maintaining a single source of truth for resource demand, allocation, and utilisation using Airtable and live operational data sources.

Responsibilities

  • Own and maintain the global resource planning process across all delivery functions and regions
  • Manage Airtable as the single source of truth for capacity, allocation, utilisation, and demand planning
  • Consolidate live timesheet, project, and delivery data to provide accurate resource visibility
  • Monitor capacity against programme and project demand to identify risks, gaps, and over-allocation
  • Partner with regional leaders and functional managers to support workforce planning decisions
  • Coordinate cross-functional resource forecasting for upcoming projects, waves, and delivery milestones
  • Produce regular reporting and insights on utilisation, capacity trends, forecasting accuracy, and delivery demand
  • Support prioritisation and allocation decisions based on business objectives and delivery constraints
  • Maintain planning standards, governance processes, and data quality across all regions
  • Identify opportunities to improve planning automation, reporting, and operational efficiency
  • Support scenario planning and modelling for large programmes and strategic initiatives
  • Ensure planning data remains accurate, timely, and aligned with operational and financial reporting inputs

Requirements

  • Experience in resource planning, capacity management, workforce planning, PMO, or operations roles within Professional Services, delivery, or similar environments.
  • Strong analytical capability and attention to detail; comfortable working with live operational data (timesheets, project plans, pipeline) to maintain accurate forecasts.
  • Hands‑on experience maintaining planning tools (e.g., Airtable, spreadsheets, PSA tools) and establishing consistent definitions, governance, and data quality standards.
  • Ability to work cross‑functionally with regional and functional leaders, facilitating prioritisation and allocation decisions with clear communication of trade‑offs.
  • Comfort producing regular reporting on utilisation, capacity gaps, and forecast accuracy, and presenting insights in a clear, decision‑ready way.
  • A continuous improvement mindset, with experience improving planning processes through automation, better tooling, and streamlined inputs.
