Due to the transformation of our services, we now have an exciting opportunity for an experienced, professional, energetic and ambitious individual to join the Children, young people and families (CYPF) specialist teams.

We are looking for a highly motivated and enthusiastic Administration Manager who enjoys a challenge to support the management of the CYPF administration service. You will need to have excellent communication and leadership skills, with proven experience of managing a multidisciplinary administration team who provide and support the community paediatricians, physio therapists, occupational therapists, Umbrella service and child development centres. You will need experience of working with a wide range of personalities and skillsets.

We will provide you with resources to develop and progress, continual professional development as well as a wide range of wellbeing and support.

Main duties of the job

You will need to be able to demonstrate on your application form a proven track record in line management and the supervision and development of admin staff, together with experience of managing and supporting staff through change. There is a requirement for strong team working and an understanding of maintaining psychological safety in a team.

Significant experience and knowledge of implementing and maintaining administrative processes is required. You will need to be a strong team player as well as a self‑starter.

You will need experience of the implementation of innovative digital support, telecommunications solutions together with use of AI to support clinic team development. Experience of using process flow software to manage team performance is required.

Job responsibilities

The Administration Manager for CYPF will manage a team of administration staff and in collaboration with the Clinical Services Manager will support the delivery of the service.

The successful candidate will have excellent communication skills, experience of staff appraisals and recruitment processes together with a broad knowledge base of IT systems used within the NHS and will be experienced in the use of all Microsoft Office products, with a high level of IT literacy. They will be able to collect, interpret and apply data to support the improvement of services.

The successful candidate will have a keen interest in the development and maintenance of digital support to all administration teams and a willingness to develop an understanding of the data each service needs to collect and manage. They will need to be interested in innovation, change and improvement.

Person Specification

Experience

  • Significant recent Senior Administrative/Secretarial experience (usually demonstrated by a minimum of 3 years experience at this level)
  • Significant experience of supervision/management of staff
  • Developing and managing admin systems
  • Previous NHS experience
  • Previous experience working within health services
  • Monitoring of budgets
