Service Operations Coordinator

Weybridge | £15.00 per hour | 6-Month Temporary Contract (Potential Extension)

An exciting opportunity has arisen for a highly organised and customer-focused Service Operations Coordinator to join a well-established and growing organisation based in Weybridge.

This role is ideal for an experienced coordinator or administrator who thrives in a fast-paced environment and enjoys managing multiple priorities while delivering exceptional customer service. Working closely with service, operations and engineering teams, the successful candidate will play a key role in ensuring the smooth coordination of customer requests, engineer scheduling, quotations, service contracts and administrative processes.

Initially office-based, the position offers the opportunity for hybrid working in the future once training has been completed and the individual is confident working independently.

Key Responsibilities

  • Coordinate field service requests and engineer schedules using internal planning systems.
  • Liaise with customers to confirm appointments, resolve queries and provide service updates.
  • Prepare and issue quotations, service documentation and customer communications.
  • Process customer orders and purchase orders, ensuring accurate administration throughout.
  • Arrange follow-up visits, engineer attendance and required parts within agreed service levels.
  • Support the administration of service contracts, maintenance schedules and customer records.
  • Work closely with internal departments including finance, service operations and planning teams.
  • Produce reports and management information to support operational performance.
  • Identify opportunities to improve processes and contribute to continuous improvement initiatives.
  • Provide high-quality administrative and customer service support across the wider team.
  • Maintain accurate records across SAP, CRM and internal systems.

The Ideal Candidate

  • Previous experience within a coordination, scheduling, customer service or administration role.
  • Strong organisational skills with the ability to manage multiple tasks effectively.
  • Excellent communication skills and confidence dealing with customers and stakeholders at all levels.
  • High attention to detail and a commitment to accuracy.
  • Ability to work well under pressure and meet deadlines.
  • Strong IT skills including Microsoft Office.
  • Experience using SAP, CRM systems or similar business systems would be advantageous.
  • A proactive and positive approach with a genuine passion for delivering outstanding customer service.
