Overview

We are looking for a motivated and dynamic Project Support Officer to join the Strategic Projects Team within Maternity Services at University Hospitals Birmingham NHS Foundation Trust. The role offers exposure to strategic programme delivery, service improvement and collaboration across multidisciplinary teams within one of the UK’s largest NHS Trusts.

Main Duties, Tasks & Skills Required

  • Support the delivery of strategic projects and programmes within Maternity Services, working closely with the Strategic Projects Team and Director of Strategic Projects.
  • Manage and coordinate small to medium-scale projects, ensuring milestones, timelines, risks and deliverables are monitored and achieved.
  • Prepare, maintain and distribute project documentation including plans, reports, action logs, risk registers, presentations and meeting papers.
  • Maintain accurate project administration systems, documentation, version control and tracking using Microsoft Office and project management software.
  • Liaise and build effective relationships with stakeholders including senior managers, clinical teams, corporate services, external organisations and collaborative partners.
  • Support the organisation and coordination of project meetings, training sessions, events and workshops, including taking minutes and following up on agreed actions.
  • Analyse and interpret complex information and project data to support reporting, identify interdependencies, risks and provide recommendations to stakeholders.
  • Provide administrative and office management support, monitoring departmental expenditure, ordering supplies and maintaining equipment and resources.

Person Specification – Qualifications

  • Essential: GCSE in Maths and English or equivalent numeracy and literacy; Degree or equivalent knowledge, training or experience (e.g. in project management / administration).
  • Desirable: Further evidence of study to postgraduate level or equivalent.

Person Specification – Experience

  • Essential: Experience working within a project management environment supporting project delivery.
  • Experience of analysing documents, communicating with a wide range of staff, writing reports and using project software tools.
  • Knowledge of NHS structures, health and social care delivery systems, Project Management theory and processes, Risk and Issue Management, data protection and confidentiality principles.
  • Experience of stock management within a team and taking minutes at senior‑manager meetings.

Additional Criteria (Essential)

  • Excellent administrative and organisational skills, attention to detail, self‑motivation and independent workload management.
  • Strong judgement, decision‑making and analytical skills; ability to present complex data clearly.
  • Capability to map interdependencies across projects/programmes and liaise with project managers.
  • Ability to work on multiple projects concurrently, use initiative, handle pressure and prioritise tasks to tight deadlines.
  • Confident team player and communicator, proficient in Microsoft Office and project management software.
  • High integrity, confidentiality, reliability, and sensitivity to data handling.
  • Adaptability to occasional travel for external meetings and cross‑site collaboration.
  • Desire to learn and develop additional project‑management related skills.
  • Good personal insight of own strengths to support personal development.

Pay and Contract

Pay scheme: Agenda for Change – Band 5 – £32,073.00 to £39,043.00 yearly.

Contract: Fixed term, 24 months.
