Job Overview

The Senior Administrator will provide essential administrative and organisational support to the New Service in the Assertive Outreach Team in Brent. The post holder will coordinate day‑to‑day administrative functions across the service, managing referrals, appointments, SystmOne (S1) data, enquiries, meeting support and medical secretarial duties, including diary and correspondence management for medics.

The role also acts as a key contact for non‑clinical operational tasks such as facilities, data quality and information management, working closely with managers to ensure that administrative systems and workflows support safe, effective and well‑organised patient care.

Responsibilities

  • Manage referrals, appointments and SystmOne (S1) data.
  • Provide diary and correspondence management for medics.
  • Support medical secretarial duties and meeting support.
  • Act as key contact for facilities, data quality and information management.
  • Assist managers to ensure administrative systems and workflows support safe, effective patient care.
  • Oversee Band 3 administrators and contribute to clinic operations.

Education and Qualifications

  • Essential: Educated to a diploma level or NVQ level 4, or equivalent experience.
  • Desirable: Recognised qualification in the use of computer software such as Microsoft Word, Excel, Access, ECDL.

Experience

  • Essential: Relevant qualification or experience plus significant years of administrative experience, including some financial responsibility.
  • Essential: Experience providing administrative support to team processes (e.g., assisting with rota updates, coordinating staff induction paperwork).
  • Desirable: Experience of working within the Public Sector.

Skills and Knowledge

  • Essential: Experience of audio typing.
  • Essential: Knowledge and understanding of mental health or medical terminology.
  • Essential: Fast and accurate typing (minimum 50 WPM).
  • Essential: Comprehensive working knowledge of Microsoft Office (Word, Excel, PowerPoint, Access).
  • Essential: Numerate and able to provide statistical data clearly and accurately.
  • Essential: Good organisational skills and ability to work on own initiative.
  • Essential: Ability to manage workload within broad policies and procedures.
  • Essential: Ability to work as a member of a team.
  • Essential: Ability to learn new skills and adapt to change.
  • Essential: Clear communicator, both verbally and in written work.
  • Essential: Can demonstrate ability to prioritise and plan a number of complex and conflicting work demands.
  • Desirable: Knowledge of managing non‑clinical contracts.
  • Desirable: Ability to demonstrate good customer relations.
  • Desirable: Experience of managing database information systems and ability to analyse data.
