The Software Asset & Contracts Oversight department plays a vital role within Technology Operations, ensuring maximising the value, compliance and performance of its software estate. The department manages the full software lifecycle—from assessing needs and procuring applications through to provisioning, optimisation and retirement—while maintaining strict compliance with licence terms and supplier requirements. It also provides central oversight of software contracts and technology suppliers, ensuring due diligence is completed and agreements are effectively managed across the organisation.

Responsibilities

  • Managing and supporting end-to-end software lifecycle activities including requirement gathering, sourcing, evaluation, negotiation, purchasing, termination, entitlement and contract updates.
  • Delivering commercial optimisation of software through license use tracking, entitlement and baseline analysis, to facilitate cost reduction and risk mitigation.
  • Providing expert guidance on software licensing models, usage terms and compliance across software vendors (e.g. Microsoft, Oracle, Adobe and other on‑prem and SaaS providers).
  • Understanding SKU changes and pricing models and mapping entitlement in SAM tool.
  • Managing and optimising software usage through establishing governance processes.
  • Maintaining accurate software asset and contract records within SAM tool and Contract repository.
  • Supporting audit defense activities by evidencing license entitlement records and ensuring ongoing compliance with licensing terms and conditions.
  • Collaborating with stakeholders (IT, Finance, Procurement and Risk) to align procurement decisions with business and regulatory requirements.
  • Producing reporting and insights on software spend, budget adherence, business ownership records, utilisation, renewals, and optimisation opportunities.
  • Provisioning tickets for approved and new software requests.

Qualifications

Essential Skills

  • Demonstrable experience in software asset management and licensing, including end-to-end lifecycle management, renewals and contract administration.
  • Strong knowledge of software licensing models (SaaS, subscription, enterprise agreements) and ability to interpret licence terms, SKUs and entitlements.
  • Proven experience using SAM and contract management tools (Flexera/SNOW, ServiceNow) to manage entitlements, compliance and contract records.
  • Ability to analyse complex data (licensing, usage, spend) and provide insights to drive cost optimisation and risk mitigation.
  • Strong stakeholder management and communication skills, with experience collaborating across IT, Finance, Procurement and external vendors.
  • Commercial awareness with experience in vendor negotiations, renewals and budget management within a technology or software environment.

Desirable Skills

  • Experience working within a large or complex software estate, including audit and compliance readiness activities.
  • Knowledge of process improvement or standardisation within software lifecycle or asset management practices.
  • Relevant certifications in software asset management or IT service management (e.g. ITIL, CSAM, IAITAM, ServiceNow SAM Pro).
