We are looking for a highly organised and professional Medical Secretary to join our friendly and supportive team at Welling Medical Practice.
This is a key role within the practice, providing efficient and confidential secretarial and administrative support to our GPs and management team. You will play an important part in ensuring the smooth running of clinical correspondence and patient‑related administration.
Main duties of the job
- Typing and processing referral letters.
- Managing incoming and outgoing correspondence (emails, post and documents).
- Liaising with hospitals, community services and external healthcare providers.
- Maintaining accurate patient records and supporting clinical systems.
- Supporting data collection and reporting for the practice.
- Assisting with general administrative duties to support the wider team.

Job responsibilities
- Typing and processing referral letters and other clinical correspondence accurately and promptly.
- Managing incoming and outgoing correspondence via NHS Mail, Docman and other systems.
- Supporting GPs and clinicians with administrative tasks relating to patient care.
- Maintaining accurate up‑to‑date patient records on the clinical system.
- Liaising with hospitals, community services and external agencies regarding patient referrals and appointments.
- Organising and prioritising workload to meet deadlines and service targets.
- Ensuring strict confidentiality of patient and practice information.
- Assisting with audits, reports and general administrative duties as required.
Experience
- Excellent IT skills with experience of working with Microsoft Outlook and Microsoft Word.
- EMIS web, AccuRx and DOCMAN literate.
- Minimum 2 years experience of working as a medical secretary in a GP setting.
- Good standard of General Education.
- Appropriate IT / Secretarial experience.
- Knowledge/experience of EMIS clinical system.
- Knowledge/experience using Ardens, Docman, AccuRx, DXS and ERS.
Qualifications
- GCSE grade A to C in English and Maths or equivalent.
- Previous work experience in General Practice or similar setting.
