POSITION: Client Accounts Assistant
HOURS OF WORK: 9:00am – 5:30pm

DIVISION: B-hive Property Solutions (CF)
QUALIFICATION LEVEL: Maths and English at GCSE (A-C) or equivalent
Main Responsibilities
- Ensure service charges are accounted for in accordance with the RICS Code of Practice, ARMA‑Q rules, accounting regulations and other HML best practices. This includes accurate and timely issuance of service charge accounts (within 6 months of the year end and issuance of Section 20b notices where applicable) and statutory accounting and taxation affairs.
- Prepare and reconcile PMS information, including entering year‑end adjustments, reserve fund transfers and checking expenditure, ready for the accounts admin team to prepare the year‑end audit packs.
- Deal with queries from property managers, accountants and clients, ensuring responses within 3 working days.
- Liaise with property managers and external auditors via email, phone and in person to obtain approval of the year‑end service charge accounts within 6 months of the year‑end date and company accounts within 9 months.
- Prepare year‑end balancing service charge surplus/deficit calculations, input year‑end balancing amounts and raise credit notes/manual demands as appropriate.
- Assist in preparing Section 20b notices within the 6‑month deadline, including drafting expenditure and providing to the Client Accounting Manager / Client Accountant for approval.
- Update control sheet daily and ensure information accuracy.
- Assist with additional ad‑hoc accounting or administrative tasks as stipulated by the Client Accountant or Client Accounting Manager.

- Ability to prioritise critical workload and work under pressure with strict time frames.
- Experience in the property management industry a bonus but not essential.
