Contract: Main area Admin Grade NHS AfC Band 2, Permanent, Part‑time – 8 hours per week (Tuesday & Thursday 20:00 to 00:00)

Salary: £25,272 per annum pro‑rata

Job Overview

The post holder will be responsible for the registration of patients, booking appointments, general reception duties and any other administration duties within the Paediatric A&E Department. The role requires excellent communication, empathy, and the ability to handle diverse situations with professional courtesy.

Responsibilities

  • Provide an efficient and courteous reception service within the A&E department.
  • Undertake a full range of clerical duties.
  • Use a variety of IT systems to ensure timely and accurate data recording for all patients accessing the A&E department.
  • Register patients according to hospital procedure, utilising the Personal Demographic Service (PDS) system.
  • Book patient appointments and manage general reception duties.
  • Maintain a customer/patient-focused service for patients, relatives and staff.
  • Use the computerised system to identify patients who have had previous contact with Southport & Ormskirk Hospitals.
  • Move case notes as required and manage patient enquiries using own initiative.

Qualifications

  • Educated to GCSE level or equivalent experience.
  • European Computer Driving Licence (ECDL).
  • NQ V 2 in Customer Service.

Experience

  • Good knowledge of administrative systems.
  • Experience dealing with customers and complaints.
  • Previous NHS experience.
  • Knowledge of Medway or other patient administrative system.

Skills

  • Ability to move case notes as required.
  • Use own initiative when dealing with patient enquiries.
  • Good organisational skills and ability to prioritise workload.
  • Ability to recognise and solve problems and identify when further advice is required.
  • Excellent interpersonal skills with use of tact and diplomacy.
  • Detail‑oriented and able to meet deadlines.
  • Good understanding of confidentiality.
  • Good verbal, written and telephone communication skills.

Other Requirements

  • Frequent requirement to move patient case notes throughout the day.
  • Ability to concentrate when taking patient details at the reception desk or over the phone throughout the day.
  • Occasional requirement to deal with distressed patients.
  • Use of VDU continuously throughout the course of the shift.
