Job Description:

Responsibilities

  • Meeting and greeting visitors, including staff arrivals.
  • Answering inbound calls using MITEL switchboard promptly and politely.
  • Ensuring the reception area remains tidy.
  • Liaising with departments to inform them of visitor arrivals.
  • Issuing faxes to relevant staff.
  • Informing HR of staff sickness calls.
  • Managing the carpark diary.
  • Coordinating courier services.
  • Sorting and distributing post.
  • Managing meeting‑room diary and ensuring rooms are set up before meetings.
  • Ordering lunches and refreshments when required.
  • General housekeeping of reception and meeting‑room areas.

Administration Duties

  • Filing.
  • Email distribution (mail shots), binding, photocopying, and database management (training provided).
  • Overflow typing.

Qualifications

  • Experience in a similar receptionist role.
  • Proficient IT skills: Microsoft Word, Outlook, Excel.
  • Excellent communication skills, both over the phone and face‑to‑face.
  • Team‑player attitude and willingness to perform administrative tasks as well as front‑of‑house duties.
  • Switchboard experience preferred; MITEL experience not mandatory.

Other Information

Full‑time, permanent position. Monday‑to‑Friday 8.30 am‑5.30 pm with an hour for lunch. Works alongside one other receptionist. Onsite parking is not available; public transport links to Clifton Village are close to the office.
