Job Overview

An opportunity has arisen in the busy Health Records Library at Macclesfield District General Hospital to appoint a demanding and varied position of Admin Assistant. The Health Records Library Team supports the organisation with the provision of an efficient administration service which ensures the availability of patient records for clinical and research purposes.

The applicant must be hard‑working, flexible and able to cope under competing pressure and demand. Experience with working in a team environment and excellent communication and interpersonal skills are essential. A good understanding of confidentiality and knowledge of the Data Protection Act 2018 is also essential.

We welcome applications from Graduate visa holders; you must have a minimum of 6 months before this expires at the start of employment for training and operational reasons. This role does not meet the UK Immigration Policy eligibility criteria and we are unable to provide Skilled Worker Visa Sponsorship.

Main Duties

  • Sort and distribute incoming mail
  • Create, update and amend patient case notes as required, ensuring all patient demographics are accurate
  • Prepare case notes for clinics to the agreed standard format including the downloading of e-referral forms
  • Use the online digital imaging retrieval system
  • Undertake reception duties on the ETU, including updating patient personal details and organising follow‑up appointments
  • Take phone calls in a timely courteous manner
  • Work collaboratively as part of a well established team

Qualifications

  • Educated to GCSE level
  • Educated to NVQ level 2
  • ECDL (European Computer Driving Licence)

Knowledge

  • Understanding of confidentiality and the Data Protection Act 2018
  • Knowledge of NHS computer systems
  • Aware of NHS policies relating to medical records
  • Knowledge of current NHS priorities

Experience

  • Previous administrative experience
  • Experience of working in a hospital environment
