Responsibilities

  • Information sharing and distribution within the company and group companies
  • Reception of visitors
  • Coordination and management of general office operations
  • Sorting and distribution of mail and emails
  • Handling the sending and receiving of parcels and special delivery mail
  • Arranging logistics and courier services on behalf of employees
  • Management of mobile phones and related contracts
  • Inventory management and ordering of office supplies
  • Ordering stationery and office supplies
  • Business card arrangements
  • Maintenance management of office equipment
  • Management of employee records, telephone lists, office key registers, etc.
  • Filing and general administrative duties
  • Management of executives’ schedules and travel arrangements
  • Support for onboarding procedures
  • Preparation of reports and presentation materials
  • Support for event planning and coordination
  • Responding to requests from directors
  • Maintaining cleanliness of the office and meeting rooms
  • Liaison with building management companies and landlords
  • Management of building service charge budgets and expenditures
  • First aider, fire warden, and evacuation support responsibilities
  • Health & Safety (H&S) related administration
  • Administrative procedures related to corporate insurance

Accounts Support

  • Support for filing activities within the accounts team
  • Processing supplier invoices and expense claims
  • Storage and management of supporting documents, invoices, etc.
  • Backup support for the Accounts Administrator during absence

Working Conditions

  • Monday to Friday (with 1-hour lunch break)
  • Office-based position with the option to work from home one day per week
  • Flexibility to work according to business requirements

Requirements

  • Minimum of 2 years’ experience in office administration
  • Highly motivated
  • Practical skills in Microsoft Office (Word, Excel, PowerPoint)
  • Excellent planning and coordination skills with strong attention to detail
  • Experience dealing with managers and external suppliers
