Responsibilities
- Information sharing and distribution within the company and group companies
- Reception of visitors
- Coordination and management of general office operations
- Sorting and distribution of mail and emails
- Handling the sending and receiving of parcels and special delivery mail
- Arranging logistics and courier services on behalf of employees
- Management of mobile phones and related contracts
- Inventory management and ordering of office supplies
- Ordering stationery and office supplies
- Business card arrangements
- Maintenance management of office equipment
- Management of employee records, telephone lists, office key registers, etc.
- Filing and general administrative duties
- Management of executives’ schedules and travel arrangements
- Support for onboarding procedures
- Preparation of reports and presentation materials
- Support for event planning and coordination
- Responding to requests from directors
- Maintaining cleanliness of the office and meeting rooms
- Liaison with building management companies and landlords
- Management of building service charge budgets and expenditures
- First aider, fire warden, and evacuation support responsibilities
- Health & Safety (H&S) related administration
- Administrative procedures related to corporate insurance
Accounts Support
- Support for filing activities within the accounts team
- Processing supplier invoices and expense claims
- Storage and management of supporting documents, invoices, etc.
- Backup support for the Accounts Administrator during absence
Working Conditions
- Monday to Friday (with 1-hour lunch break)
- Office-based position with the option to work from home one day per week
- Flexibility to work according to business requirements
Requirements
- Minimum of 2 years’ experience in office administration
- Highly motivated
- Practical skills in Microsoft Office (Word, Excel, PowerPoint)
- Excellent planning and coordination skills with strong attention to detail
- Experience dealing with managers and external suppliers
