This is an exciting opportunity to play a key role in ensuring the safe and effective delivery of medical services across the Trust. You will be responsible for coordinating medical rotas, supporting clinicians and operational teams, and helping to ensure that our services remain fully staffed to provide excellent patient care.
No two days are the same, making this an ideal role for someone who enjoys working under pressure, managing competing priorities and building strong working relationships.
Main duties of the job
As a Medical Rota Coordinator, you will:
- Coordinate and maintain medical rotas, ensuring clinical services are safely staffed.
- Identify and resolve rota gaps, arranging appropriate medical cover where required.
- Work closely with consultants, junior doctors, operational managers and the Temporary Staffing Team.
- Maintain accurate records on the Trust’s eRostering system.
- Support the management of annual leave, study leave and unplanned absences.
- Ensure rota changes are communicated promptly to all relevant stakeholders.
- Provide advice and support to medical staff regarding rota queries.
- Assist with the coordination of locum bookings and ensure appropriate governance processes are followed.
- Contribute to service improvements and support the development of efficient rota management processes.
We are looking for someone who has:
- Significant administrative or coordination experience, ideally within the NHS or healthcare.
- Experience of medical rostering or workforce planning.
- Excellent organisational skills with the ability to prioritise a busy and varied workload.
- Strong communication skills and confidence in working with clinicians and multidisciplinary teams.
- Excellent IT skills, including Microsoft Office applications and spreadsheets.
- The ability to analyse information, identify solutions and make informed decisions.
- A flexible, proactive approach with excellent attention to detail.
Experience of eRostering systems or similar workforce systems would be an advantage.
Job responsibilities
As part of the Medical Rota Office, you’ll ensure the smooth running of medical staff rotas across the Trust. This is a dynamic role where no two days are the same from preparing and updating rotas, coordinating cover for absences, and managing temporary staffing requirements, to liaising with clinical teams and external agencies.
You’ll be a key point of contact, providing helpdesk support for rota and staffing queries, and ensuring our electronic eRostering system is accurate and up to date. By working closely with operational and clinical colleagues, you’ll help ensure patient services are always safely staffed.
What You’ll Do
- Prepare and publish weekly medical rotas, ensuring clinical sessions are covered.
- Identify and manage gaps in staffing, arranging cover for planned and unplanned absences.
- Ensure on call services are covered at all times.
- Liaise with operational service teams to resolve and elevate issues impacting rotas.
- Coordinate locum and temporary staffing, ensuring the right cover is in place.
- Maintain records of annual leave, study leave, and staff absences.
- Provide support to medical staff regarding rota queries and study leave entitlement.
- Contribute to improving rota management policies and processes.
Qualifications
- NVQ level 4 or equivalent level of working experience
Knowledge
- Good working knowledge and experience of mainstream word processing, spreadsheet and email software, preferably MS Office.
- Good knowledge and understanding of the functionality and operation of hospital patient information systems or similar
Experience
- Substantial secretarial/ administration experience, preferably in a health service environment.
- Understanding and use of working with medical terminology
- Excellent computer literacy, ability to use Word, Excel and Google sheets
- Experience of using PAS and Galaxy or equivalent
- Experience of medical rostering

- Excellent written and oral communication skills
