Office Coordinator (Temporary)
Location: Holborn
Duration: 2 months initially (potential to extend, TBC Perm notices.)
Start Date: ASAP (Wednesday/Thursday start available)
Pay Rate: £16-18 per hour
Working Pattern: 4 days per week (office-based)
Hours: Monday – Thursday, 8:30am – 5:30pm
Overview
We are seeking a proactive and personable Office Coordinator to join a busy and dynamic London office. This role sits within the People function and plays a key role in ensuring the office runs smoothly while delivering an excellent experience for employees and visitors.
This is a fast-paced, collaborative environment with a strong focus on employee engagement, events, and day-to-day operational excellence.
Key Responsibilities – please note this is a perm job spec, not all responsibilities will be covered in the role.
Office & Operations Support
- Act as the main point of contact for all day-to-day office queries
- Manage front-of-house duties including greeting visitors and handling deliveries
- Liaise with building management regarding access, maintenance, and office requests
- Oversee office supplies, kitchen stock, and general inventory
- Conduct regular office checks and proactively resolve or elevate issues
- Support vendor coordination, purchase orders, and invoice tracking
- Assist with IT and equipment setup for new starters
- Maintain office systems such as digital signage
- Ensure health & safety compliance, including first aid and fire safety processes
- Support sustainability initiatives and office best practices
- Assist with budgets, expense tracking, and cost‑saving initiatives
- Support wider office projects (e.g. office moves, audits)
- Assist with offboarding processes, including equipment returns
Employee Experience
- Coordinate onboarding logistics for new starters (workspace set‑up, welcome support, tours)
- Organise and support office events such as team lunches, social gatherings, and internal initiatives
- Assist with larger events including seasonal parties, wellbeing activities, and company‑wide programmes
- Support visiting employees from other offices
- Coordinate catering and logistics for meetings and team onsite events
