About the role
The Post-holder will supervise a team of clerical staff within the Admissions team at Chapel Allerton Hospital Clinical Services Unit (CSU). The role involves coordinating and supervising members of the clerical team across all aspects of patient administration and admissions, ensuring processes are managed in line with the 18-week referral-to-treatment target and the Trust Elective Access Policy. The position is contracted at 37.5 hours per week across five days and requires a flexible approach to working patterns to meet service needs.
Key responsibilities
- Coordinate the day‑to‑day activities of clerical officers and ensure appropriate staffing levels to maintain a quality service.
- Maintain regular communication with all staff to ensure they receive briefings, knowledge, and information relating to their role.
- Assist in recruitment, performance assessment, and development planning for the team and individuals.
- Provide training and supervision in patient administration and exceptional customer service, motivating staff and promoting team values to achieve outcomes.
- Ensure implementation of Trust procedures and protocols within the department in accordance with policies and specialty guidelines.
- Maintain accurate and timely records in the Trust Patient Administration System.
- Ensure investigation results receive medical acknowledgement promptly.
- Support the development and introduction of new ways of working and promote joint working with other departments and agencies.
- Undertake performance monitoring to ensure high‑quality service delivery.
- Respond effectively to telephone communications in a polite and helpful manner, observing discretion and courtesy, and return follow‑up calls as necessary.
- Support the induction process for new clerical officers and work with the Outpatient Coordinator to develop refresher programmes for existing staff.
- Respect patient confidentiality and be aware of the Data Protection Act and Caldicott Guidelines.
- Perform any other duties as determined by the Outpatient Coordinator or Site Manager.
