Administrative Assistant

We are seeking a highly organised and proactive Administrative Assistant with advanced IT skills to join our busy Academy team. This is a varied and rewarding role providing essential administrative support across multiple functions, ensuring the smooth day‑to‑day running of the Academy.

Key Responsibilities

  • Manage assessment data within Arbor and other relevant systems, ensuring records are accurate, reliable and maintained effectively.
  • Produce, distribute and analyse assessment information to monitor pupil progress, identify trends and support comparison against internal and national benchmarks.
  • Manage the administration of all statutory tests and data submissions, ensuring that statutory information is prepared, validated and sent to the Department for Education at the appropriate points.
  • Run the termly Census, checking funded, extended and paid hours for EY, resolving any errors or queries, and inputting data such as FSM and suspensions.
  • Create and maintain the school timetable on Arbor as required.
  • Prepare the academic year roll‑up on Arbor and provide staff and pupils with timetables as appropriate.
  • Coordinate the administration of Parents’ Evenings and update academy calendars and website.
  • Be part of the team that supports front‑of‑house operations:
    • Provide reception and front‑of‑house support, welcoming visitors and responding to enquiries from parents, staff and external stakeholders.
    • Provide administrative support across the Academy using Microsoft Office, Google Workspace, Arbor and other relevant systems.
    • Manage telephone enquiries, directing calls and taking accurate messages.
    • Maintain accurate pupil and parental records within Arbor.
    • Provide first aid support to pupils/staff and support emergency and evacuation procedures.

Qualifications & Skills

  • Previous administrative experience (school environment desirable).
  • Highly organised with excellent attention to detail.
  • Strong ICT skills, including Google Workspace and Microsoft Office.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities, work under pressure, be flexible, reliable and able to use initiative.
  • Maintains confidentiality and professionalism at all times.
  • Willing to undertake training, including First Aid.

Hours / Salary / Contract

Hours – 37 hours per week, Monday – Friday, 8am – 4:00pm (3:30pm on Friday). Term time (including 5 INSET Days).

Salary – Level 2A point 3 (£12.85 per hour).

Contract – Permanent.

Closing Date – Tuesday 14th July 2026 (interviews W/C 20th July).
