Overview

The Campaigns and Alumni Relations Office (CAR) at the University of Sheffield is dedicated to inspiring alumni and supporters to make donations, as well as giving their time and expertise. This role supports fundraising across all areas: Legacies, Individual Giving, Community Fundraising, Major Gifts, Trusts and Foundations.

Responsibilities

  • Provide effective administrative support for fundraising activities across teams to promote philanthropy.
  • Act as the main point of contact for fundraising queries via email, mail, phone, and in person, ensuring quick and friendly responses.
  • Respond to expressions of interest for donations and legacy gifts, drafting both standard and non‑standard replies.
  • Assist the Senior Philanthropy Manager with legacy case loads and CRM updates (Raiser’s Edge), including obituaries, events, and communications.
  • Support Trusts and Foundations fundraising by researching prospective grant‑makers, drafting and proofreading proposals, and logging submissions in the CRM.
  • Provide administrative support for Community Fundraising, using JustGiving to welcome new fundraisers and support events such as The Big Walk.
  • Support donor stewardship by sending thank‑you letters, running monitoring reports, drafting impact reports, and assisting donor visits.
  • Record data accurately on the CRM, ensuring confidentiality and GDPR compliance.
  • Collaborate with CAR staff and provide back‑up support during leave or heavy workload periods.
  • Carry out other duties commensurate with the grade and remit of the post.

  • Experience working collaboratively and flexibly within a team.
  • Ability to deliver an outstanding supporter experience as the university ambassador.
  • Confidential approach to data handling, respecting data protection regulations.
  • Excellent time‑management and organisational skills, with the ability to prioritise work.
  • Highly flexible and able to adapt skills to new circumstances.

Desirable Criteria

  • Interest in fundraising.
  • Experience with CRM systems such as Raiser’s Edge.

Additional Information

  • Grade: 4
  • Salary: £25,249 – £26,707, with potential progression to £28,778.
  • Work arrangement: Full‑time – flexible arrangements considered.
  • Duration: 12‑month contract, starting August‑September 2026.
  • Line manager: Head of Individual Giving.
