Associate Director – Surveying (Commercial Property Management)

Full time, permanent with hybrid working.

Role Purpose

Working in our specialist Central London team, the successful candidate will be responsible for managing a high-profile portfolio of predominantly office and hotel assets for some of our most valued clients, including globally active institutional investors. The role reports to the Client Services Director and may involve some line management responsibility and occasional travel within Europe.

The ideal candidate will be a confident, client-focused, experienced Property Manager with a track record in the London office market, that can work with a high degree of self-sufficiency. They will be proactive in delivering the highest possible standards of service delivery for our clients and their occupiers and have a strong understand of the relevant Landlord and Tenant legislation. They will be adaptable, able to work to demanding deadlines and prepared to foster CBRE’s RISE values in their approach to their work and interactions with others.

Key Responsibilities

  • Manage the transition of clients/properties in and out of CBRE management
  • Compliance relating to sites under their control, taking action or escalating any issues relating to non-compliance
  • Carry out property inspections and complete timely reports
  • Ensuring that clients’ insurance procedures are implemented and that insurance premiums are recharged to tenants
  • Taking the appropriate action in response to any legal notice received in relation to a managed property
  • Preparing data for client meetings in conjunction with their line manager and supporting more widely with the preparation of various client reports
  • Attending client meetings, ensure recording of minutes (where required) and carrying out of actions arising
  • Ensure rent demands are raised accurately and on time
  • Work closely with credit control to drive strong performance for rent and service charge collections
  • Ensure client reports are prepared to the correct specifications and issued to clients in accordance with agreed timescales, subject to approval by line manager
  • Ensure all tenant applications are turned around promptly and that any associated fee invoices are also settled without delay Ensure lease maintenance is undertaken promptly and correctly and that system records are kept up to date.
  • Work closely with Building Managers and other technical specialists to ensure that service charge budgets are prepared in line with client KPI’s and RICS mandatory requirements
  • Review service charge cash flows and budgets monthly/quarterly subject to client requirements take proactive steps to ensure service charge funding is sufficient to pay creditors and our own fees promptly
  • Ensure that service charge year end reconciliations are completed accurately and in accordance with RICS guidelines / client instruction
  • Identify and progress opportunities for to bring CBRE’s wider expertise into your client relationships
  • Alongside Building Managers, arrange and chair occupier meetings on a regular basis and ensure minutes are taken and actions follow up
  • Review tenant applications and prepare client recommendations for approval by line manager
  • Be fully conversant with, and adhere to, the rules and procedures contained in the Company’s FCA Insurance Business Compliance Manual
  • Act a role model to more junior colleagues and support their development

Person Specification / Requirements

  • Preferably RICS qualified (Commercial Pathway) with relevant post qualification experience, mostly in the London office market
  • Whilst this role does not currently involve a significant degree of people management, some management experience is preferable
  • Constantly updating knowledge of legislation relating to Landlord & Tenant and property management, in order to manage the portfolio effectively and to make recommendations to the client
  • Able to build and maintain colleague and client relationships
  • Understand and grow knowledge of a client’s investment objectives
  • Able to recognise the opportunity and the right time for selling additional services to clients
  • Able to build and maintain tenant / customer relationships and drive positive occupier satisfaction survey scores
  • Understand the principles of lease structure and be able to read and understand a lease
  • Understand the principles of turnover rent and able to read and understand a turnover rent clauses
  • Be able to apply legal principles of tenant applications for consent and the processes to be followed, ensuring the client’s position is protected
  • Apply the principles of service charge management to ensure compliance with all regulatory and procedural requirements including the terms of the lease
  • Work with the clients’ leasing agents, project managers, buildings surveyors and other advisors as part of a cohesive team to ensure that clients’ assets strategy is progressed
  • Understand VAT, banking and credit control methods (use of CRAR, forfeiture, statutory demands etc.)
  • Understand and apply all CBRE procedures relating to work activities (extensive training and support given to all new starters)
  • Able to competently use IT software such as Word, Excel and other databases
  • Understand and use industry / CBRE specific IT applications (e.g. Yardi, Tramps, P2P etc.)
  • Able to contribute to team and department business plans and take on responsibility for contracted and ad hoc fee revenue
  • Able to delegate, supervise and develop junior team members with the potential to also become involved in APC supervision
  • Able to work as part of a team, supporting other team members and recognising the work of others
  • Build and maintain relationships with other parts of the wider CBRE service lines
