Role Summary
The new Office Manager post will play a central role in managing the smooth, compliant and effective running of Koestler Arts’ operations. This role combines governance support, organisational compliance, HR oversight, office management and supplier coordination, with responsibility for maintaining high standards across policies, data protection, and operational infrastructure. The postholder will act as a key organisational hub, supporting leadership, the DPO and trustees, while managing critical third‑party relationships and ensuring the charity operates efficiently and in line with best practice.
Background
Koestler Arts is an arts charity renowned for its impactful work within the criminal justice system. From our new premises just outside HM Prison Wormwood Scrubs in East Acton, our team collaborates to unlock hope, talent and potential in the lives of people in the criminal justice system. We provide an annual awards programme – the Koestler Awards – open to people in prisons, secure mental health hospitals, immigration removal centres and beyond; a post‑release arts mentoring scheme; arts membership for people in prison; family engagement opportunities; and a programme of exhibitions, events and publications. We extend our impact through partnerships. Recent exhibition curators include Ai Weiwei, Jeremy Deller, John Costi, Inua Ellams and women in prison. Our recent poetry anthology was edited by Lady Unchained. Our public programme is built on a long‑term partnership with Southbank Centre; alongside one‑off and recurring partnerships including Baltic, Tramway, John Hansard Gallery and the Old Fire Station, Oxford.
Responsibilities
The Office Manager will manage day‑to‑day office operations, provide governance support, ensure organisational compliance, oversee HR functions, coordinate suppliers, maintain data protection standards, and uphold operational infrastructure.
Qualifications
- More than 3 years paid experience in a similar role in a charity or other small organisation.
- Up‑to‑date knowledge of charity and business operations best practice.
- Strong communication skills – able to lead staff, volunteers and the board.
- Ability to work to deadlines and manage own time effectively.
Working Hours & Contract
The role is part‑time, based in the office in W12. It is a one‑year contract with potential to extend subject to funding. The successful candidate will agree on a work pattern, within office hours, with the CEO.
