Job Summary

To assist the Hire, Workshop and Service Departments to ensure Plant administration is dealt with quickly and efficiently in accordance with Company Procedures. An apprenticeship to learn the Hire Controller and Plant Service administration role.

Assist with the management of the Company s Approved suppliers. Record and communicate any non-conformances.

CUSTOMER

Liaise with internal customers, other departments, and suppliers, showing customer service; respect; and professionalism. Provide the best service, we can, to our colleagues and customers.

Maintain a balance between cost and site progress, communicating with suppliers and internal customers to advise on progress of activities to achieve on-time delivery and the correct specification.

Build relationships with suppliers. Effective and efficient supply relationships are crucial in maintaining and sustaining a quality supply service.

Assist the Department to ensure that plant reports are distributed for verification / authorisation as required. Systems are updated weekly, checking against suppliers reports and clarified with site every week.

Provide support to your Manager and the Bethell Plant Team.

Support the Bethell Group, providing Plant in a timely, communicative, and efficient manner.

EXCELLENCE

Place plant Orders ensuring that the necessary equipment is delivered to the correct site, correct specification and within the specified time frame. Maintain all data records according to the Company s QA procedures. File or scan all tickets, delivery notes, off hire sheets as required.

Deal with all plant breakdowns and off hires, processing them as soon as possible. Liaise with site and suppliers to ensure that issues are resolved, repairs or exchanges are organised. Update records and report continuous non-conformances to ensure quality standards are met.

Process and authorise Invoices allocated to you by the Plant Manager. All invoices are authorised in accordance with the Company s authorisation procedure and returned to the accounts department by monthly deadlines. Check invoices carefully, matching them to the Purchase Order and delivery information, query discrepancies; update query / dispute spreadsheets and help to resolve any issues as quickly as possible. Look to improve any flaws in Bethell s or the supplier s systems. Communicate with suppliers to ensure supplier accounts run smoothly.

Be aware of your role and responsibility within the company and always aim to improve and develop.

Attend all meetings as requested by your NVQ training company and complete all your assignments and tasks in a timely manner.

Assist in ways the Plant department can reduce the companies carbon footprint. Communicate information from suppliers that can assist the company innovate and improve.

Person Specification

Qualifications and Experience

GCSE in English Language or Mathematics (or equivalent)

Skills and knowledge

A desire to work in the Construction Industry

Some knowledge or interest in Construction Plant, Tools and equipment would be an advantage.

A good working knowledge of Microsoft Office products / internet and email

Well-developed written and verbal communication skills

Excellent organisational, time management and planning skills

Highly accurate with a good attention to detail

Numerate

Systematic and logical

An awareness of the importance of health and safety

Good communication skills, relationship builder

Commitment to business success and customer service

Team player

Conscientious, trustworthy, open and reliable
