This role based on the beautiful Scottish island of Islay will be responsible for planning, coordinating, and supporting the delivery of the planned maintenance program and expediting reactive maintenance across all locations on Islay, ensuring our assets are maintained to the highest standard and compliant with relevant regulations, legislation, and organisational policies. In addition to maintenance focused work, the Maintenance Planner will support the capital project team to ensure user requirements are captured during design phases, carry out client inspections where required, and aid the handover and acceptance process. They will also manage the full lifecycle of smaller CAPEX projects in relation to building/infrastructure improvements.

Job responsibilities

  • Manage and deliver the planned maintenance program, ensuring prioritisation in accordance with level of risk.
  • Expedite reactive maintenance works, timely and safely.
  • Review and authorise all maintenance aligned, contractor supplied, health and safety documentation, prior to onsite work.
  • Implement company Permit to Work system and ensure adherence during works.
  • Control and manage on site contractors to ensure compliance with safety policies, self-supplied RAMS and permit conditions.
  • Manage and update all maintenance records.
  • Budgetary control; Create and manage purchase orders within budget limitations.
  • Identify and resolve risks, hazards, and threats related to people, property, and premises.
  • Promote sustainable practices in facilities management in line with the company’s strategy.
  • Enhance knowledge and skills in the FM sector through training and cross functional working.
  • Establish strong relationships with internal and external stakeholders through collaboration and communication.
  • Conduct inspections to ensure quality standards are in line with expectations and regulatory compliance adhered to.
  • Manage minor CAPEX projects for building and infrastructure improvements.
  • Assist capital project delivery: Aid in the safe execution of construction work for capital projects.
  • Be the focal point for the handover and acceptance of maintenance and project construction work.

Profile

Professional/Technical Experience:

  • Expertise in Facilities / Estates Management (relevant degree or proven experience).
  • IOSH Managing Safely / NEBOSH qualifications (not essential, preferred).
  • Experience in approving RAMS.
  • Working knowledge of Construction Regulations 2015 and duty holders’ responsibilities.
  • Permit To work experience.
  • Proven project / planning management.
  • Ability to manage conflict with a positive approach to solution finding.
  • Sound knowledge of Financial Management / experience in budget management.
  • Good knowledge of Microsoft applications.
  • Good knowledge of SAP.
  • Ability to work across functions and cultures.
  • Collaborative & proactive mind set.
  • Completer Finisher.
  • Highly organised, significant user & adopter of technology.
  • Self-managing and proactive individual who can priorities accordingly.
  • To have a continuous improvement approach, for example embracing modern ways of working through technology.
