Salary: Up to £35,000, dependent on experience
THE ROLE
This is a critical business support role, providing high-quality, proactive administrative support to a wide range of activities within and associated with the Company’s Executive Office. The post holder will provide business support to the Chief Financial & Operating Officer and HR & Communications Director, alongside contributing to wider organisational support activities. The role requires sound judgement, discretion, confidence in communicating with a wide range of external and internal stakeholders and the ability to manage competing priorities in a fast‑paced, high‑profile environment. Key aspects of the role are:
- Business support to the Chief Financial & Operating Officer and HR & Communications Director: Delivering comprehensive, trusted administrative and organisational support to the CF&OO and HR & Communications Director.
- Confidentiality & Governance: The role requires regular access to highly sensitive information relating to corporate strategy, financial performance and Board matters. Absolute discretion and adherence to governance, compliance and data protection obligations are essential.
- Support/cover for the Executive Assistant to the CEO & Chair: Ensuring seamless operation of the CEO and Chair’s offices, with particular focus on diary coordination, meeting logistics, confidential communications and general administrative support with associated corporate teams including Finance, Company Secretarial and Communications & PR.
- Administrative support to the Communications team: Supporting through efficient and timely preparation of internal and external communications documents, event logistics, and related activities.
KEY RESPONSIBILITIES
Business support to the Chief Financial & Operating Officer and HR & Communications Director
- Provide comprehensive, trusted administrative and organisational support to the CF&OO and HR & Communications Director, including diary management, travel arrangements, expenses and meeting coordination.
- Assist with management of complex diaries, ensuring effective prioritisation and coordination across multiple internal and external stakeholders.
- Manage correspondence and information flow, ensuring timely responses and robust organisation of records.
- Prepare high‑quality documents, presentations and briefing materials for internal, board and external meetings.
Support/cover for the Executive Assistant to the CEO & Chair
- Act as a trusted deputy as required, providing confidential day‑to‑day administrative support to the CEO and Chair
- Act as a professional point of contact for the CEO and Chair’s Office, handling enquiries with discretion and diplomacy.
- Manage confidential correspondence and ensure accurate record‑keeping in line with governance and data protection requirements.
General & Cross‑Role Responsibilities
- Support investor, analyst and adviser engagements, including logistics and preparation of materials where required.
- Provide events management support to the Communications & PR team to support the Company stakeholder engagement activities.
- Coordinate logistics for Executive and Board‑related meetings, including agendas, papers, action tracking and follow‑up.
- Maintain the highest standards of confidentiality, professionalism and integrity.
- Build strong, effective working relationships across the organisation.
- Act calmly and decisively under pressure, managing shifting priorities with minimal supervision.
- Identify opportunities to improve administrative processes and ways of working.
- Assist in any other aspects of work of the Company as reasonably required.
SKILLS AND CAPABILITIES
- Outstanding organisational and diary management skills.
- Strong written and verbal communication, with the ability to produce clear, concise documentation and professional, polished and confident in dealings with senior stakeholders.
- High level of attention to detail and accuracy.
- Proven ability to handle sensitive and confidential information.
- Confident stakeholder management at executive and board level.
- Advanced IT skills, particularly Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Discreet, trustworthy and emotionally intelligent.
- High level of self-initiative with strong problem solving skills.
Proactive and resilient, with the ability to adapt effectively to change.
- Ability to remain calm under pressure, applying sound judgement.
EXPERIENCE
- Demonstrable experience supporting senior executives (Executive Committee or Board level).
- Experience working in a complex, regulated or PLC environment desirable.
- Exposure to board and committee processes and governance frameworks advantageous.
