Operations Coordinator
Salary: £45,000-£50,000
Location: London Bridge
Office based, Monday-Friday
Are you a highly organised Operations Coordinator or Project Administrator with a keen eye for detail and experience producing high quality documentation?
We are working with a contemporary, busy and fast-paced interiors, design and build company who are seeking an Operations Coordinator to support the Sales, Pre-Contracts and Design teams.
This is a varied role with a strong focus on bid administration, project documentation and ensuring client submissions are produced to an exceptional standard.
Working as part of a collaborative operations team, you’ll play a key role in coordinating project administration from tender stage through to project mobilisation, helping to ensure deadlines are met and documentation is delivered to the highest standard.
Key responsibilities
- Supporting the Sales, Pre-Contracts and Design teams with day-to-day project administration
- Working closely with the Graphic Design team – preparing and formatting high-quality client proposals, tender submissions and presentation documents
- Producing Design, Fit-Out and Construction Proposal documentation, alongside marketing materials
- Preparing contract documentation, pre-qualification questionnaires (PQQs) and company credentials
- Maintaining project documentation and commitment schedules
- Proofreading and quality checking all client facing documents before submission
- Coordinating project meetings, preparing agendas and taking minutes
- Organising meeting logistics, catering and couriers
- Managing document filing and project correspondence
- Assisting with process improvements to enhance administrative efficiency
- Providing Office Manager cover during periods of holiday or absence
- Supporting the coordination of team events
About you
- Previous experience in an Operations Coordinator, Bid Coordinator, Project Administrator, Document Controller or similar role
- Experience preparing client proposals, bids, tenders or technical documentation would be highly advantageous
- Excellent written English with exceptional proofreading and formatting skills
- Advanced Microsoft Office skills, particularly Word, PowerPoint and Excel
- Highly organised with excellent attention to detail
- Able to manage multiple deadlines within a fast-paced environment
- A proactive, hands-on approach with a willingness to support the wider team where required
