Main Purpose of the Job

The main purpose of the People Operations Generalist (Data Administrator) role is to support the Company with all day-to-day HR data administration tasks and to be a super user in our HR software (People HR/ Calitime/ M-Files). Experience using HiBob would be desirable.

This is a varied and data driven role that would be a good fit for somebody who is proficient in IT and has a keen eye for detail

Role and Responsibilities

Data management:

  • Regular audit of data in HRIS
  • Organisation of employee files in H:Drive and physical files
  • Preparing global/local reports for HR related topics
  • HR software super user (People HR/ Calitime/ M-Files), including daily maintenance of the Calitime system
  • Supporting with data cleansing and uploads within the HRIS
  • Supporting with documentation uploads and reviews in M-Files

HR Administration:

  • Supporting with a range of administration tasks in the onboarding and offboarding process (such as sending reference requests, creating employee profiles in HR software, sending end of probation information etc.)
  • Supporting with retention practices such as birthday gifting, purchasing vouchers, setting calendar reminders for events
  • Assistance with monthly reporting tasks such as sickness reporting and exit interview notes
  • Preparation of letters for employees
  • Support with ad-hoc project related work

Benefits and Training Administration:

  • Administration of UK benefits schemes, including providing information to benefits suppliers to set up employees onto schemes and ensuring schemes are up to date
  • Supporting with handling and booking training requests in M-Files

Recruitment:

  • Supporting our Recruitment Specialist with managing ATS data – rejecting candidates, closing vacancies.

Requirements

  • BA level qualification
  • Excellent working knowledge of Microsoft Office (outlook/ excel/ word)
  • Excellent communication skills, both verbal and written
  • Good IT awareness and skills, with strong data input skills
  • Experience using HiBob software is desirable
  • Good attention to detail
  • Ability to meet required deadlines
  • Professional demeanour
  • Happy to work on a hybrid basis, with a minimum of 3 days in the office
  • Ideally you would have worked in a similar role (HR Administrator/ Assistant) although this is not essential, you will, however, have worked in an administrative position

This is a contract role, 9-12 months duration
