Administrative Support PSFU Coordinator

  • To ensure that any abnormal investigation test results, are brought to the attention of the appropriate clinical team
  • To arrange for patients to have investigations performed when required
  • To ensure test results are available for the clinicians when requested.
  • To have the ability to retrieve information from hospital support systems
  • To be responsible for the filing of all results and patient information into the patient’s medical records, within an agreed time scale.

Main duties of the job

  • To receive telephone calls to the department ensuring the caller’s needs are clearly established, accurate messages taken and passed on promptly, and callers are passed on to other colleagues when appropriate.
  • To take any follow up action as agreed with a caller and to keep them informed of any outcomes.
  • To ensure that patients and visitors are communicated with effectively and politely, and patient focus is maintained. To ensure that any enquiries are handled in a courteous and tactful manner and problems are dealt with promptly and efficiently.
  • To provide the appropriate support to any caller as required by their emotional status, which may involve advising patients of changes of appointment dates or dealing with complaints.
  • To be aware of clinicians’ and senior managers’ whereabouts throughout the day, to advise callers or visitors of the same, and to arrange meetings and appointments as necessary.
  • To be conversant with Microsoft Outlook, ensuring mail is routinely read daily.
  • To provide cover for other Medical Secretaries within the department when absent.
  • To attend and participate in departmental meetings held on a regular basis.
  • To take notes in meetings and type up as necessary

To take steps to resolve callers’ complaints and concerns. Where this is not feasible, to advise callers of the PALS Service and if necessary, of the complaints’ procedure. Issues should be escalated to the Support Manager as appropriate.

Job responsibilities

  • To manage wait list for PSFU triage patient.
  • To book all patients that has been triaged for the PSFU nurse clinic
  • To be responsible for the patient telephoning into the helpline by phone or email ensuring that queries and requests has been actioned

To have excellent keyboard and word processor skills in Word and Microsoft Outlook.

  • To identify the most appropriate layout of complex documents, eg; reports, minutes of meetings, on the word processor and to maintain an organised file management system.
  • To be responsible for the smooth running of the off-site transcription service for the clinical teams. This will include the uploading of dictation and the downloading of completed correspondence within an appropriate timeframe. In addition, the post holder must check all downloaded correspondence to ensure the patient demographics are correct, and the substance is accurate. After signature by the relevant clinician, all correspondence must be sent to the recipient in a timely manner and filed in the patients medical records and uploaded onto power chart where appropriate. It is expected that this process should be completed within 5 working days.
  • To be responsible for the identification of any problems with the functionality and turnaround time of the off-site transcription service, and to raise this with the Support Manager.
  • To type accurately from audiotapes where still in use.To act independently, ensuring that daily tasks and ongoing workloads are prioritised and completed in agreed timeframes.
  • To prioritise incoming correspondence, ensuring that it is promptly dealt with by the appropriate member of staff
  • To undertake photocopying as necessary.
  • To ensure that referral letters are reviewed by the clinical teams and prioritised within an appropriate timeframe.
  • To ensure that medical records and Millcare are updated with patients details, when necessary, in liaison with reception staff
  • To locate, collect and book patients medical records in and out of the department as required.

Person Specification

Qualifications

  • RSA 111 or equivalent
  • Good general Qualifications
  • Typing 60 WPM
  • AMSPAR Diploma or equivalent
  • Customer care course or equivalent experience

Skill

  • Ability to work unsupervised
  • Experience working in a multi cultural environment

Experience

  • Minimum of 2 years working admin cancer patients
  • Experience in establishing /maintaining robust office system
  • Experience working within the hospital 2 years
  • Understanding of annual surveillance
