Cover Manager – Part time

Grade 6 point 9 – Actual salary: £15,865.11 (equivalent to £27,254 FTE/year). Location: Worthing High School, Worthing, West Sussex. Contract: Permanent part‑time 7 am – 12 noon, 25 hours per week, Monday to Friday, 39 weeks per year (term time only). Flexible working considered. Reports to SLT line manager.

Role Description

Responsible for ensuring lessons are covered daily due to staff sickness or absence; taking calls from staff, recording reasons for absence on the Trust’s MIS (SIMS and Every); managing supply staff logistics within budget.

Key Responsibilities

  • Daily Operations: Operate and manage cover system, 7 am cut‑off, liaise with cover supervisor team, allocate work, arrange supply teachers, monitor task completion, ensure cover work in correct folders, arrange morning briefing for external supply teachers, and arrange emergency cover contingency for non‑working hours.
  • Strategic & Administrative: Maintain daily dialogue with Director of People on absences; organise statutory and paid duties; supervise mock/formal exams; liaise with trip leaders and EVC for staffing regulations; liaise with subject leads for moderation days; manage lunch duty cover and room bookings; process and secure approval for planned absence application forms; utilise SIMS and Every for external staff details; review supply costs; organise focus days.
  • Team & Relationship Management: Develop and maintain relationships with colleagues; maintain confidentiality on staff welfare concerns.

Qualifications and Experience

  • Educated to GCSE Standard (A*–C) or equivalent, including English and Maths.
  • Proven organisational and time‑management skills; high accuracy and attention to detail; ability to work under pressure and meet deadlines; manage confidential information; strong IT skills (Google, Outlook, Word, Excel).
  • Excellent communication and interpersonal skills.
