Role

An exciting opportunity within the Primary Care support services to be part of the transformational change Programme within Primary Care. The post will evolve to meet the changing needs through this change Programme and will also be subject to the Renfrewshire HSCP Sustainable Futures review. You will need to be flexible and responsive while working across primary care, health and social care services within NHSGGC. The post holder will support delivery of the GP Contract across NHSGGC, under the supervision of the General Practice Support & Development Manager, and will be responsible for day‑to‑day administration tasks, playing a key role in supporting the business of the GMS Contract Team based within Primary Care Support.

Duration, Location, and Working Pattern

This is a fixed‑term, full‑time post of 18 months. It is based at JB Russell House/Gartnavel Royal Hospital. The shift pattern for this post is Monday to Friday.

Key Responsibilities

  • Provides high‑level personal and administrative support to the GMS Contract Team and is responsible for identifying workload priorities.
  • Acts as first point of contact for the service, dealing with telephone and email enquiries from staff at all levels within the organisation, the general public and external agencies.
  • Prepares external/internal responses to correspondence, investigating and interpreting information where appropriate for the GMS Contract Team and drafting complex correspondence under direction.
  • Manages mail systems (paper and electronic), arranging for mail logging, allocation and progress chasing of correspondence under the guidance of the managers.
  • Monitors and manages the GMS Contract Team generic mailbox, providing responses to enquiries on own initiative or directing them to a relevant member of the team promptly.
  • Assists the GMS Contract Team to manage projects and provides high‑level administrative support to ensure agreed outcomes are actioned and progressed in accordance with project objectives.
  • Acts as an authorised PECOS signatory for order processing and receipt of all purchase orders within MIS, including external contract commissioned work and equipment, verifying that all items receipted are accurate and complete in accordance with the Board’s Standing Financial Instructions.

Qualifications

  • In‑depth knowledge of administration systems, processes and procedures to perform the role.
  • Experience in all aspects of administration, including data handling, and an ability to prioritise and manage workload effectively.
  • Work experience in a healthcare environment, either primary or secondary care.
  • Knowledge of the GP Contract, General Practice and their systems.
  • Ability to work under pressure and be responsive to ad‑hoc requests.
  • Good communication, negotiation and support skills.
  • Excellent knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Teams.
