This role is part of the Federations Integrated Services team. This team delivers a range of services on behalf of our member practices, and projects are commissioned on both short-term and long-term bases. This role will be required to support multiple services within a working week and meet the needs and demands of each service.
Main duties of the job
Administrative Responsibilities
Be the first point of contact via phone, email and in person for the service, patients and staff.
Support service meetings, including preparing agendas, booking rooms, creating papers, minute taking, action tracking and communicating information to the teams.
Maintaining accurate and efficient filing systems for the service in line with the company confidentiality policy.
Keeping an accurate record of patient appointments for the service and tracking contacts and outcomes made with these patients.
Ensuring the smooth day to day running of the services, ensuring patients and clinicians are well informed.
Booking appointments for patients and ensuring all relevant parties are updated.
Communicating with the internal team, as well as member practices, partner organisations, secondary care and the voluntary sector.
Organising and scheduling meetings.
Maintaining database systems for the purposes of monitoring and evaluating.
Assisting the weekly/monthly reports as required by the service.

Job responsibilities
The administrator is a crucial role enabling the smooth working and delivery of services for the organisation. The role will primarily support administrative tasks for two services, working closely with the service manager and clinical staff. Their primary responsibility will be offering appointments to patients but they will also assist with operational processes and ensuring relevant service procedures and policies are updated.

Qualifications
- Education up to A-Level or equivalent
- GCSE in Maths and English
- Further education or degree qualification or equivalent
Experience
- Previous experience working in a busy office setting
- Experience of being the first point of contact for services
- Experience of communicating to patients or customers over the phone or face to face
- Experience of clerical experience in Primary Care
