Maintenance Operations Administrator
Location: GBR Chesterfield – Midland Way; Salary: £31,529.
As a Maintenance Operations Administrator, you will play a key role in supporting the Maintenance Operations Team Leader and Manager to deliver a world‑class service to BT’s customers. You will help manage parts and warranty processes, ensure chargeable activities are administered accurately to maximise revenue opportunities, and support the smooth day‑to‑day operation of the maintenance function. Working in a fast‑paced environment, you will be responsible for maintaining high levels of operational efficiency, helping the team meet contractual service level agreements (SLAs), performance metrics and customer commitments. You will also collaborate closely with colleagues across Business Field Operations and Solutions to support continuous improvement initiatives that enhance customer experience, productivity and service delivery.
What You’ll Be Doing
- Provide quotations for chargeable work, ensure customer authorisation is obtained, maintain accurate records for invoicing, and support revenue recovery through audits and incident reporting.
- Manage invoice queries and support the Maintenance Operations Team Leader and Manager with budget control and financial administration activities.
- Monitor and manage spares availability, maintaining stock levels within agreed budget targets and using system and contract data to support effective planning.
- Coordinate with approved suppliers, repair centres and internal stakeholders to manage the movement, tracking and availability of customer and BT assets.
- Process live warranty incidents, manage warranty returns within agreed SLAs, monitor returned parts, and minimise defective‑part backlogs against KPI targets.
- Build effective working relationships across BT, respond to enquiries in a timely manner, support continuous improvement initiatives, and contribute to a positive and collaborative team environment.
- Maintain compliance with BT health and safety requirements, support training and accreditation activities, proactively develop your own skills, and undertake additional duties as required.
Essential Skills and Experience
- Experience working in a busy operational or administrative environment, with the ability to support teams through change and continuous improvement initiatives.
- Strong analytical and problem‑solving skills, with the ability to assess information, think logically and make well‑informed decisions.
- Good commercial awareness, with an understanding of the importance of cost control, revenue protection and delivering value to customers.
- Ability to take ownership of tasks, demonstrate initiative and proactively resolve issues while remaining accountable for outcomes.
- Strong customer focus with excellent interpersonal and communication skills, enabling effective collaboration with colleagues, customers and stakeholders.
- High levels of integrity, professionalism and attention to detail, with the ability to manage competing priorities effectively.
- Proficiency in Microsoft Office applications, particularly Excel, Word and Outlook.
Desirable Skills and Experience
- Experience using BT systems, reporting tools or similar operational platforms.
- Ability to interpret and analyse data to identify trends, drive efficiencies and support operational decision‑making.
- Experience working within stock management, warranty administration, maintenance operations or a service delivery environment.
