Job Title: Senior Homecare ClerkDepartment: Pharmacy HomecareDuration: Temporary role, until roughly October 2026Location: Kent & Canterbury Hospital, Canterbury, CT1 3NGHours: 22.5 hours per week (any 3 days Mon‑Fri, 8:00‑16:00, 8:30‑16:30 or 9:00‑17:00)Pay Banding: Band 3 – £12.94 per hourTrust: East Kent Hospitals University NHS Foundation Trust

Responsibilities

  • Support the day‑to‑day running of the Pharmacy Homecare Office, ensuring administrative tasks are completed accurately and within agreed timescales.
  • Provide guidance and support to Homecare Clerks and new starters under the direction of the Assistant Team Leader, following agreed procedures.
  • Process, order and monitor homecare prescriptions from third‑party providers, prioritising work according to deadlines and patient need.
  • Resolve invoicing queries, including using pharmacy systems such as CMM, and process credits in accordance with local procedures.
  • Initiate urgent medicine orders via homecare companies to prevent patients from running out of medication.
  • Ensure prescriptions processed have appropriate funding by checking relevant systems, including Blueteq, and escalating discrepancies as required.
  • Review monthly homecare statements, follow up routine discrepancies with homecare providers, and escalatate complex issues to senior staff.
  • Collaborate with Trust Finance colleagues, specialist nurses, consultants, secretarial staff, pharmacy colleagues and homecare companies to support effective service delivery.
  • Communicate relevant availability and supply information to clinical teams, ensuring messages are accurate, clear and timely.
  • Operate in accordance with Trust policies, standard operating procedures and information governance requirements at all times.
  • Maintain accurate records, including filing and archiving of homecare documentation in line with local procedures.
  • Monitor shared homecare email inboxes, respond to routine queries and escalatate issues to the Assistant Team Leader where appropriate.
  • Undertake training and development activities as required for the role and support the training of Homecare Clerks within own scope of competence.
  • Contribute suggestions for improvements to working practices to support service efficiency and effectiveness.
  • Assist with the implementation and use of homecare company portals and pharmacy systems, following training and guidance provided.
  • Carry out general office duties, including photocopying, correspondence and mail handling, to support effective running of the service.
  • Assist with the collection and reporting of Pharmacy Key Performance Indicator (KPI) data under the direction of the Assistant Team Leader.
  • Support the Assistant Team Leader and Team Leader with administrative tasks related to ordering, invoicing and system updates, appropriate to Band 3 responsibility.
  • Act as a point of contact in the absence of senior staff for routine matters, escalating non‑routine or complex issues appropriately.

Experience & Requirements

  • Administrative experience.
  • Evidence of vocational level 3 qualification or at least 2 years relevant experience may be required.
