An exciting opportunity has become available for a part-time post (20 hours/week) in the Cardiology Department at Queen Elizabeth Hospital UHB. This is for an individual who relishes a challenge and is keen to use their own initiative. The applicant must be able to work under pressure and have excellent problem‑solving and time‑management skills to meet competing priorities.

The successful post holder should have a proactive and friendly attitude and be able to meet the main duties of the role as identified in the job description. You will be required to work to a high standard of accuracy and be able to demonstrate initiative in planning your own workload in a way that supports the consultant and wider team. You must possess excellent organisational skills and be experienced in dealing with confidential information.

You will need to be resilient, flexible to changing daily priorities and remain calm under pressure. In return you will receive an excellent support network, training opportunities and a real chance to excel within a highly motivated team.

The successful candidate will have a good standard of English and be proficient in MS Office as well as other software applications.

Main duties of the job

  • Provide excellent telephone skills. Accurately record telephone messages and other enquiries and refer as appropriate.
  • Provide a point of contact for patients/relatives/carers, GPs and other health care.
  • Be sympathetic and sensitive to the requirements of staff, service users when communicating by telephone or face to face, including dealing with a difficult situation, e.g. aggressive or demanding behaviour.
  • Attend admin team / departmental meetings on a regular basis. Contribute to building effective teamwork in exchanging views, ideas and communicating effectively.
  • Maintain the consultant’s diaries as required.
  • Ensure that clinic letters and discharge summaries are sent out in accordance with the locally agreed time limits.
  • Work collaboratively as part of an integrated team.
  • Organise own day-to-day work tasks showing an ability to prioritise in order to achieve set timescales.
  • Accurately input data using a variety of Trust IT systems in a timely way. Strictly adhere to Caldicott and the Data Protection Act.
  • Provide reciprocal cover for secretarial team during annual leave and sickness absence.

Qualifications

  • Good general education (e.g. GCSE English and Maths A‑C, GCSE Level 9‑4)
  • Business Administration NVQ level 3 or equivalent experience in a clerical environment

Experience

  • Experience of dealing with the public/customer service experience
  • Experience of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
  • Experience of using IT systems
  • Experience of working in a busy environment
  • Experience of working in healthcare
