Are you a friendly and customer‑focused individual looking to make a difference in the NHS? We are seeking an enthusiastic Receptionist/Administrator to join our busy Audiology team, providing an efficient and welcoming service to patients across Worcestershire.
As the first point of contact for many of our patients, you will play a vital role in ensuring a positive patient experience. You will be responsible for greeting patients, managing appointments, handling telephone enquiries, maintaining accurate records and supporting the smooth day‑to‑day running of the Audiology service.

Main duties of the job
Join our friendly Audiology team and play a key role in supporting patients across Worcestershire. As an Audiology Receptionist, you will be the first point of contact for patients attending our hearing and balance services, helping to ensure they receive a professional, efficient and welcoming experience.
This varied role involves welcoming patients to the department, managing appointments, handling telephone and email enquiries, maintaining patient records and supporting the day‑to‑day administration of Audiology clinics. You will work closely with Audiologists, administrative colleagues and ENT teams to ensure clinics run smoothly and patients are seen at the right time and in the right place.
The post also provides essential administrative support for ENT services, including coordinating referrals, managing clinic information and helping to facilitate patient pathways between Audiology and ENT. Your work will contribute directly to reducing waiting times, improving access to services and supporting the delivery of high‑quality patient care.

Job responsibilities
- Act as the first point of contact for patients attending Audiology and ENT services, providing a professional, welcoming and efficient reception service.
- Receive and book in patients using Trust patient administration systems, ensuring patient demographic information is accurate and up to date.
- Manage Audiology and ENT appointment bookings, amendments, cancellations and waiting lists, ensuring clinics are utilised effectively.
- Answer telephone and email enquiries from patients, carers, GP practices and other healthcare professionals, providing information and resolving queries where appropriate.
- Support Audiology and ENT clinical teams by preparing clinic documentation, patient records and clinic lists.
- Assist with the administration of urgent and emergency Audiology and ENT pathways, ensuring timely access to care.
- Liaise with Audiologists, ENT clinicians, administrative staff and external organisations to support smooth patient pathways.
- Arrange interpreter services and other patient communication support where required.
- Maintain accurate electronic and paper patient records in accordance with Trust policies and data protection requirements.
- Process patient correspondence and clinical documentation, including scanning, filing and distributing information as required.
- Handle patient payments and maintain accurate financial records in line with Trust procedures.
- Respond appropriately to patient concerns, escalating issues to senior staff when necessary.
- Support the management of departmental diaries and waiting lists to help maximise capacity and reduce patient waiting times.
- Assist patients who require transport arrangements and provide support to patients attending clinics where required.
- Support the day‑to‑day running of Audiology reception areas, ensuring a safe, organised and patient‑friendly environment.
- Work collaboratively with colleagues across Audiology, ENT and other hospital departments to deliver a high‑quality patient experience.
- Participate in service improvement initiatives, audits, staff training and departmental projects as required.
- Adhere to Trust policies, procedures and standard operating procedures, ensuring patient confidentiality is maintained at all times.

Qualifications
- Good standard of education to GCSE or equivalent, to include English Grade C or above.
- Previous NHS administrative or receptionist experience.
